This is a fast-paced position that supports our production department by coordinating installation schedules, communicating with customers, and helping keep our operations running smoothly.
This is not a front desk or receptionist position. Instead, you'll become an essential part of our operations team, ensuring our production crews stay scheduled efficiently while providing outstanding customer service.What You'll Do
  • Coordinate installation schedules with customers.
  • Schedule and adjust production crew schedules.
  • Answer incoming scheduling-related phone calls.
  • Communicate with customers by phone, text message, and email regarding appointments and scheduling updates.
  • Monitor and respond to scheduling-related text messages.
  • Maintain accurate customer notes and document all customer interactions.
  • Verify that production paperwork is complete and accurate before processing.
  • Maintain Google Sheets, Google Docs, and other production records.
  • Assist with the company's transition from paper documentation to digital records.
  • Work closely with the Project Manager and Chief Operating Officer to support daily operations.
  • Suggest workflow improvements and process enhancements when appropriate.
  • Occasionally run local errands using a company vehicle when needed.
  • Perform other administrative duties as assigned.

Schedule
  • Monday through Friday.
  • Training schedule is typically 8:00 AM–4:00 PM.
  • After training, the schedule may transition to 7:00 AM–3:00 PM or 7:00 AM–4:00 PM to better support production crews.
