Position Summary
The Area Sales Coordinator provides administrative, operational, and customer service support to the Area Sales Manager for the Hampton Inn & Suites Pittsburgh/Harmarville and TownePlace Suites Pittsburgh Harmarville. This role assists with lead management, sales correspondence, proposals, contracts, client communications, and event coordination while ensuring accurate sales records and timely follow-up.

Responsibilities
  • Manage incoming sales inquiries by phone, email, and brand channels, ensuring timely responses and appropriate follow-up.
  • Prepare proposals, contracts, rate agreements, group resumes, and other sales-related documents.
  • Maintain accurate client information, sales activities, and account records within Delphi.fdc/Amadeus CRM.
  • Assist with lead management by qualifying inquiries, assigning leads, and tracking follow-up activities.
  • Coordinate hotel site tours and assist with client visits, presentations, and sales appointments.
  • Prepare Banquet Event Orders (BEOs), group detail sheets while coordinating with hotel operations.
  • Monitor group room blocks, cutoff dates, pickup reports, and reservation activity to maximize revenue opportunities.
  • Coordinate client correspondence, thank-you letters, welcome amenities, and post-event follow-up communications.
  • Assist with preparing weekly sales reports, production reports, forecasting information, and monthly activity summaries.
  • Support the execution of annual Sales & Marketing Plans, promotional campaigns, and local marketing initiatives.
  • Coordinate participation in networking events, trade shows, community organizations, and hotel sales events as directed.
  • Maintain inventory of sales collateral, promotional materials, and presentation supplies.
  • Collaborate with Front Office, Housekeeping, Food & Beverage, Revenue Management, and other hotel departments to ensure exceptional guest experiences.

Qualifications & Skills
  • High School Diploma or GED required
  • One (1) year of hotel sales, hospitality, customer service, or administrative experience preferred.
  • Experience with Delphi.fdc/Amadeus CRM, Microsoft Office Suite, and hotel property management systems is preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to manage multiple priorities while maintaining accuracy in a fast-paced environment.
  • Professional, customer-focused attitude with outstanding relationship-building skills.

Physical Requirements
  • Ability to sit, stand, and walk for extended periods throughout the workday.
  • Manual dexterity sufficient to operate computers, phones, and other office equipment.
  • Ability to communicate effectively in English, both verbally and in writing.
  • Ability to occasionally lift up to 20 pounds.
  • Ability to travel locally between assigned hotel properties as business needs require.

Work Environment
This position operates primarily in a hotel office environment while supporting two hotel properties. Evening or weekend work may occasionally be necessary to support client events or business needs but is not the standard schedule.
