Job description

JOB OVERVIEW

This position is responsible for processing forms and verifying and processing all Apprentice On the Job Training (OJT) hours.  This position will also assist the training department with phone coverage and will handle Apprentice completions.

DESCRIPTION OF DUTIES

Responsibilities:

  • Assist with answering phones and direct calls to appropriate staff members
  • Scan, file and send letter of receipt for all DAS 140/142 forms

·         Apprentices OJT hours

o    Verify, input when needed, and track apprentice OJT hours in Flashpoint database

o    Scan OJT paystubs and cover sheet into apprentices’ files

o    Audit OJT hours quarterly or as needed

o    Every other month print out a missing OJT hours report by each apprenticeship program

o    Create and process violation letters

o    Update OJT hours violation spreadsheet

o    Create OJT hours violation disciplinary packets when needed

  • Close out all completed Apprentices

o    Audit and verify apprentices have completed their required OJT hours

o    Requested payroll history reports from the employer for verification

o    Check with Apprentice Training Administrator that apprentice(s) have completed their required classroom hours

o    Notify employer and Apprentice of the completion

o    Copy and paste the congratulation letter into the apprentice profile in Flashpoint

o    Update apprentice profile in Flashpoint

o    Update the tracking certificate spreadsheet

o    Process the state completion letter and complete the apprentice in Rapids (Federal website)

o    Scan all completion documents into apprentice’s file in CNG

·         Work with Flashpoint and CNG Database’s as required

·         Other duties

o    Assist in Graduation, Craft Championships and any other event needed

o    Request DOL / State certificates when necessary

  • Other duties as necessary and assigned

 

Specialized Skills:

·         Must be able to multi-task

  

Qualifications:

·         Must possess basic computer skills

·         Must be able to handle heavy call volumes
