Job description

Administrative Assistant

The Administrative Assistant serves as the first point of contact for the Registrar's Office and ensures the welcoming, friendly, and efficient responses to people who visit the office as well as phone calls to the main office phone line. Additionally, this position will provide administrative assistance in fulfilling daily office tasks.

Job Responsibilities:

  • Ensures the welcoming, friendly, and efficient operation of the front desk greeting area of the Registrar's Office which includes:
    • Serving as the first point of contact, whether in person or by phone, for those who contact the Registrar's Office
    • Assisting visitors to the office, which will include gaining a knowledge of other campus services in order to best refer students to other campus locations
    • Ensuring that the main Registrar's Office phone line is being answered throughout regular office hours and responding to requests in a timely manner
  • Provide administrative assistance in fulfilling daily office tasks, which includes:
    • Processing student schedule changes
    • Writing and distributing various office letters including: visiting student letters, incomplete graduation letters, enrollment verification letters, and other letters requested by students
    • Processing all name/address changes, whether submitted in person or through online submission
    • Assisting students in the processing of apostille requests, including guiding students through each step of the process
    • Keeping track of inventory of office supplies and ordering new supplies in a timely manner
    • Processing submissions to the office ticket request system, and assisting the records manager and technical coordinator in assigning tickets to the appropriate staff person
    • Verifying data entry for students' academic records
    • Assisting with each of the commencement ceremonies held on the Campbellsville campus throughout the year
    • Assisting other staff members in the Registrar's Office with daily tasks
    • Completing various other projects and duties as assigned
    • Working hours necessary to perform job requirements satisfactorily on a regular basis.
    • Managing absences from work in a responsible manner to ensure service to university faculty, staff and students.
    • Complying with Campbellsville University policies and practices and seeking clarification of them when necessary.
    • Honor the mission of Campbellsville University and abide by rules and regulations and Standards of Conduct outlined in the Administrative Policies and Procedures Manual.

Skills & Qualifications:

  • Bachelor's degree is required.
  • Proficiency in all Microsoft Office products is required.
  • A friendly, helpful, and consistently positive attitude to promote a welcoming atmosphere
  • Must have an extremely high level of accuracy, attention to detail, and ability to organize at multiple levels.
  • Excellent communication skills and the ability to get along well with the diversity of those whom we serve in order to provide outstanding customer service in person, over the phone, and through email.
