Join Our Team
Ameritech Facility Services is looking for a highly organized Construction Operations Coordinator to help support commercial HVAC and mechanical installation projects from kickoff through completion. This position serves as a key connection between Project Managers, field technicians, subcontractors, vendors, and clients to keep projects moving efficiently and on schedule.

What You'll Do
  • Set up and maintain project files within company management systems.
  • Coordinate project schedules and communicate upcoming work with field personnel.
  • Track project documentation, including submittals, permits, equipment information, inspections, and closeout documents.
  • Organize and maintain project records in Spectrum, SharePoint, Smartsheet, and other internal platforms.
  • Coordinate material and equipment orders to ensure timely delivery to job sites.
  • Work with subcontractors to collect required documentation, schedule work, and verify compliance requirements.
  • Support Project Managers by monitoring project progress, identifying potential delays, and helping resolve issues.
  • Communicate with technicians regarding daily reports, installation updates, inspections, and project milestones.
  • Assist with permit coordination and monitor approval status when required.
  • Prepare project reports and provide updates for management meetings.
  • Participate in project conference calls and internal planning meetings.
  • Respond to questions from customers, vendors, subcontractors, and field personnel.
  • Provide administrative support throughout the lifecycle of each project.
  • Perform additional duties as assigned.
What We're Looking For
  • Experience in construction coordination, project administration, operations support, or a related role.
  • Commercial HVAC or mechanical construction experience is preferred but not required.
  • Working knowledge of Microsoft Office, including Excel, Outlook, and Word.
  • Experience with Spectrum, Smartsheet, SharePoint, or similar software is a plus.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple priorities while meeting deadlines.
  • Self-motivated with the ability to work independently and collaborate with a team.
Minimum Requirements
  • Ability to pass a pre-employment drug screening.
  • Ability to successfully complete a background check.
Physical Requirements
  • Regular use of computers and office equipment.
  • Frequent sitting, typing, and communicating with internal and external teams.
  • Occasionally lift or move items weighing up to 50 pounds.
  • Ability to review project documentation and work at a computer for extended periods.
