Job Description

We are seeking a highly organized and detail-oriented Sales & Fulfillment Coordinator to support our growing retail business across major accounts including Walmart, Target, Sam's Club, Costco, Five Below, e-commerce, and specialty retailers. This role provides immediate hands-on experience with the sales lifecycle of major retail accounts, while supporting order processing, routing, and warehouse communications for our growing toy business. This role offers visibility into the entire product lifecycle-from concept to launch-and ensures retailer orders flow smoothly from forecast and purchase order through delivery. The coordinator will maintain accuracy and compliance with retailer requirements while working closely with Sales, Operations, Account Services, Warehouse teams, and our overseas offices to drive execution excellence.

We currently operate on a 4-days-in-office, 1-day-remote hybrid schedule; local candidates are preferred.

Key Responsibilities

Sales Support

  • Support Walmart and other key retail account management activities
  • Manage retailer systems, item setup, maintenance, and ongoing updates
  • Prepare and maintain sales reports and retailer documentation
  • Monitor inventory levels, replenishment flow, and item performance
  • Support buyer meetings, line reviews, and showroom preparation

Order Management

  • Work closely with the Sales team to ensure all orders align with customer expectations
  • Receive, review, and process retailer POs through EDI systems (e.g., SPS Commerce, TrueCommerce, Walmart Retail Link, Target Partners Online)
  • Validate pricing, item setup accuracy, quantities, pack configurations, ship windows, and vendor requirements before confirming
  • Monitor and resolve EDI errors, ASN issues, acknowledgments, and transmission failures
  • Maintain internal order tracking dashboards and proactively update teams on order status
  • Maintain compliance with all retailer-specific documentation and data standards

Fulfillment & Logistics

  • Request routing with major retailers (Walmart, Sam's Club, Target, Amazon, Five Below, etc.)
  • Generate and validate ASNs, BOLs, packing lists, pallet labels, and all shipping documentation
  • Coordinate pickup appointments, freight bookings, and delivery schedules
  • Communicate with overseas Production and Account Services teams on inventory, shipping schedules, and compliance requirements
  • Track shipments and proactively resolve exceptions, delays, or compliance issues

Warehouse Coordination

  • Communicate with the warehouse daily on order status, pick/pack needs, labeling, and special customer requirements
  • Ensure inventory availability and accuracy prior to confirming orders
  • Monitor inbound container schedules and coordinate outbound priority shipments
  • Support warehouse with any retailer-specific labelling or packaging instructions (PDQs, pallet programs, club packs)
Qualifications

Required

  • Previous experience supporting Walmart and/or other major retail accounts
  • Strong knowledge of major retail portals, including Walmart Retail Link / Scintilla / NOVA / Supplier One, Amazon Vendor Central, Target Partners Online, or similar systems
  • 1+ years of experience in EDI, order processing, logistics coordination, supply chain operations, or vendor compliance
  • Experience with replenishment planning and inventory management
  • Experience creating and troubleshooting ASNs, BOLs, and EDI document flows (850, 856, 810)
  • Highly organized and excellent attention to detail
  • Strong communication skills and ability to coordinate with cross-functional teams both internally and externally
  • Proficiency in Microsoft Excel (e.g., VLOOKUP/XLOOKUP, PivotTables, and data analysis tools)
  • Ability to work in a fast-paced environment with shifting priorities
  • Team-oriented mindset with a positive attitude

Preferred

  • Knowledge of domestic freight, LTL, and FTL logistics, direct import, etc.
  • Experience working with overseas teams, particularly in Hong Kong and China on shipping and production schedules
