Woodlake Animal Hospital - CSR/Receptionist
Woodlake Animal Hospital in Midlothian, Virginia is seeking a new CSR/Receptionist to join our wonderful, tight-knit team!
Main Duties:
  • Receive telephone and email/AllyDVM requests/Pharmacy requests; screen those that are handled by other staff members and take care of routine calls and scheduling requests. Provide knowledgeable sub-professional advice concerning the care and treatment of animals.
  • Follow established hospital policies and procedures in scheduling appointments. Determine whether immunizations/tests are current. Follow-up by requesting records and recommend update of necessary immunizations/diagnostics to clients.
  • Schedule appointments after obtaining all necessary data concerning the animal and owner. Prepare or obtain all required forms such as animal clinical records, health certificates, immunization certificates, lab reports in advance, if possible.
  • Ensure that all charges are captured and follow through on making sure all post visit financial obligations are satisfied.
  • Fill veterinary prescriptions with appropriate medication and initial label per hospital policy; provide routine instructions to owners concerning Rx for medications. Collect lab specimens from pet owners, set-up sample or print lab request form as appropriate and get sample prepared to be sent to outside lab.
  • Assist in the updating of client files (Update email, physical address and phone numbers)- Follow-up with clients when records are requested for another hospital.
  • Be able to comfortably facilitate usage of the online store (Covetrus) and AllyDVM scheduling both in clinic and talking clients through it if they are calling from home.
  • As required, enter data into the computer system, retrieve and modify and send electronically stored records.
  • Participate in callbacks of appointments seen the prior day- Check on patient and see if there are any follow-up questions from owners- Inform Owner of negative parasite screen and 4dx results- Inform veterinarian if positive result.
  • Participate in opening, closing and weekend duties.
  • Perform other duties as assigned.
Job Requirements:
  • Knowledge of hospital procedures and operating instructions for making appointments, assembling patient medical records, recording test results, relaying information regarding patient's condition, and compiling and submitting data on patients treated.
  • Knowledge of the spelling and meaning of commonly used terminology of veterinary medicine, file veterinary medical reports according to alpha, numeric or subject matter headings.
  • Requires strong interpersonal and customer service skills.
  • Strong customer service skills. Personal contacts are with animal owners affected by a variety of problems, visitors, and other staff members. Considerable tact and diplomacy are required. Must accurately relay owner's account on the medical complaint(s) of the animal(s) involved to the staff members who will be involved in treating the patient(s).
  • Advanced computer skills. We are a paperless/paper lite clinic, and computer abilities will be critical for a successful CSR. We have an online store and will be taking pharmaceutical refills and scheduling appointments from an online system and from our clients as well as from phone calls. Frequent checking of our email and dashboards during the day will be part of your responsibilities.
  • High school diploma or equivalent.
  • 10 hours of CE per year
