Job Description

The Legal Administrative Assistant provides administrative and operational support for Client Legal Services attorneys under general attorney supervision. This role supports insurance defense litigation matters by entering and managing case-related data, including pleadings, motions, and correspondence related to trial, arbitration, and mediation. The assistant is responsible for calendar management, scheduling litigation events, e-filing, and supporting case workflows that require accuracy, adaptability, and strong external communication.

Key Responsibilities

  • Monitor and maintain compliance within Team Connect (Litigation Management System)
  • Enter, update, and manage case data, including pleadings, motions, discovery, trial, arbitration, and mediation correspondence
  • Manage calendars and coordinate scheduling for hearings, depositions, mediations, and related litigation events
  • Prepare, track, and maintain files and documentation in accordance with established procedures
  • Communicate clearly and professionally with internal partners and external contacts to support case progression
  • Make basic case support decisions within defined guidelines and under attorney supervision
  • Manage competing priorities and adjust to changing workflows in a litigation environment
  • Handle sensitive and confidential information with discretion
  • Perform tasks accurately, efficiently, and within required timelines

Experience

  • Administrative experience in a legal, insurance, or professional services environment, preferably supporting insurance defense litigation
  • Experience supporting litigation activities, including scheduling and case coordination
  • Working knowledge of legal terminology, civil litigation processes, and case management systems required
  • Familiarity with various Virginia courts and local procedures required
  • Court approval experience and knowledge of the Virginia court system considered a strong plus

Location

  • This role is based in or near Fairfax, Virginia
  • In-office attendance is required 2-3 times per week
  • Candidates must be able to attend additional in-office meetings as business needs require

Compensation
