Job Summary
TCPR requires an organized, detail-oriented, and innovative Supplier Management Administrator who oversees the sourcing, evaluation, selection, and onboarding of suppliers while supporting the execution and administration of contractual obligations. This role is responsible for ensuring adherence to service level expectations, quality standards, productivity targets, regulatory requirements, and compliance-related obligations. Through strong planning, customer focus, process management, and problem-solving capabilities, the incumbent ensures suppliers operate in alignment with TFS policies, procedures, governance standards, and applicable regulations.
The Supplier Management Administrator supports programs designed to monitor supplier compliance, performance, and business relationships, helping ensure third-party suppliers consistently deliver services that support TCPR business strategies and objectives. Working collaboratively across functions, this role leverages sound judgment, effective stakeholder management, and attention to detail to support Service Operations initiatives and achieve servicing goals.
Primary Job Accountabilities
1. Supplier Onboarding:
  • Develops and procures clear compliance expectations and Service Level Agreements, as well as appropriate and enforceable consequences for violating compliance related responsibilities.

  • Responsible for outlining and defining the Control Risk Assessment (Enterprise Compliance), which is annually collected, starting seven months after new supplier onboarding. Also, when a supplier becomes a tier 1 or 2 risk (consumer-facing risk). Standard unit of ongoing control measurement. Reviews various controls with answers shared with the Business Owners, InfoSec, and Business Continuity:

  • Support the day-to-day execution of operational strategies across third-party servicing relationships for suppliers.

  • Follow up on business unit requests for potential servicing contracts and other supplier-related agreements.

2. Supplier Oversight
  • Executes supplier management routine for oversight of suppliers, which includes facilitating operational calls, quarterly business reviews, and coordinating periodic onsite visits to the supplier's locations.
  • Monitors supplier compliance with the contractual terms, conditions, and requirements.
  • Responsible for maintaining documentation regarding all management oversight activities with assigned suppliers (tracking of contract, insurance, and license cancellations deadlines).
  • Establishes and maintains oversight of contractual and supplemental performance metrics for assigned supplier programs.
  • Monitors, audits, and reconcile monthly invoices, partner expenses, and discrete financial transactions ensuing all invoices are supported, accurate, and compliant with contractual terms.
  • Follows up on both internal and external customers' business requests, in a time frame consistent with customer expectations. Oversees that deadlines are met by suppliers and business units for reports and assessments required under the program.

3. Ongoing Supplier Communications
  • Establishes and sustains a constructive partnership with supplier and TCPR internal teams that align with TCPR's business strategy
  • Holds suppliers accountable for incorporating compliance policies, procedures, and regulations into their day-to-day responsibilities
  • Maintains effective communication, execution, and monitoring of supplier adherence to the overall TFS compliance management program.

4. Support
Legal & Compliance
  • Draft monthly update of the program on the TCPR SFC MD Narrative Report.
  • Prepare slides of the program updates for the monthly ERMC.
  • Provide feedback and support to audit reports that may impact the supplier management program.
  • Support the drafting and updating of policies and procedures led by the Legal & Compliance Department.
  • Support responding to policies and procedures requests by business units.
  • Support other Legal & Compliance tasks, as needed.

TCPR General Support
  • Prepare and present necessary refresher training for business units upon any changes or reinforcement required to maintain the program under internal policies, and legal parameters.

Education
Required
  • Four-Year College Degree (BA or BS)

Experience
Required
  • 2-5 years of relevant / progressive work experience (in similar field and/or industry)

Licenses, Certifications & Specialized Skills
  • This position communicates daily with counterparts in Headquarters, thus the requirement to be fully bilingual and master the skill in both a written and oral way.
  • Good analytical, interpersonal, writing, attention to detail, problem solving, decision making, time management, research, and communications skills.
  • Ability to effectively work with new and changing situations, including new regulations.
  • Able to consolidate, compare, and decipher quantitative data quickly and accurately.

Additional Comments, Including Unique Circumstances
  • Work schedule: Monday-Friday from 8:00 am to 5:00 pm. In some instances, working overtime and during holidays may be required.
