Job description

The Onboarding Specialist is responsible for managing the end-to-end onboarding process for all new associates. This role ensures a smooth, engaging, and efficient experience that helps employees become productive quickly and feel connected to the organization. In addition, this position is responsible for launching the new hire survey through Activated Insights, employee recognition programs including the annual anniversary celebration event, and compliance for postings.

Key Responsibilities

  • Coordinate and execute onboarding programs for new associates.
  • Serve as the main point of contact for new hires during their onboarding period.
  • Prepare onboarding materials, schedules, and documentation.
  • Conduct orientation sessions (company culture, policies, tools, etc.).
  • Partner with HR and hiring managers to ensure compliance with new hire tasks.
  • Track onboarding progress and ensure completion of required training and paperwork.
  • Maintain employee records in HR systems and in personnel files.
  • Gather feedback from new hires to improve onboarding processes through online system.
  • Ensure compliance with company policies and legal requirements.
  • Support continuous improvement of onboarding programs and materials.
  • Handle and coordinate monthly recognition program, Thankful Thursdays, and the annual anniversary recognition event.
  • Other duties as assigned.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field (preferred).
  • 1–3 years of experience in HR, onboarding, training, or employee engagement.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Familiarity with HR software or applicant tracking systems (ATS). ADP Workforce now experience is preferred.
  • Ability to manage multiple tasks and deadlines.
  • Attention to detail and problem-solving skills.
