    Summary

    The Senior Payroll Administrator manages the entire day to day payroll process for 300+ team members, works closely with HR and other business partners on payroll-related matters. The Administration is responsible for resolving all payroll issues, prepares and reports on commissions, spiffs, works with the benefits team, and coordinates requests with internal and external auditors. In addition, this role will oversee the administration of the Company’s 401(k), Flexible Spending Accounts (FSA) and Health Savings Account (HSA) plans.

    Responsibilities

    • Manage the process for bi-weekly payrolls with a high degree of accuracy and timeliness
    • Process off-cycle, prior quarter adjustments and manual checks, as needed
    • Manage validation table, deduction and earnings code set up in ADP
    • Assists with ADP questions/issues via email, TEAMS, or other methods in a timely fashion
    • Create weekly, bi-weekly, monthly and quarterly reports in ADP
    • Properly set up and register for processing payroll in different states based on TM residence
    • Perform Year-End payroll processing (reconciliation, W2s, 1095-C, quarterly adjustments, etc.)
    • Produce payroll and compliance details for internal and external auditors
    • Works closely with Managers and internal business partners on payroll matters
    • Assist with Payroll overview in New Hire Orientation and train newly hired managers on their payroll responsibilities
    • Create and upload payroll related journal entries into Accounting system
    • Report all taxes and ensures compliance with federal, state, and local payroll, wage/hour laws and best practices
    • Process VOEs, Garnishments, Income Deduct orders and manage the remittance process
    • Balance the payroll accounts by resolving payroll discrepancies
    • Identify and recommend updates to payroll processing software, systems, and procedures
    • Conduct monthly payroll and insurance vendor reconciliations
    • Compile time, production, and payroll data from time sheets and other records
    • Issue and record adjustments to pay related to previous errors or retroactive increases
    • Track leave time, such as vacation, personal, and sick leave – benefit deductions in arrears
    • Assists accounting with tax payments, 941s and GL ledger reports
    • Ensure that computing, withholding, and deductions are set up correctly in ADP
    • Process and track employee reimbursements and tool/purchase repay program
    • Administer 401(k) plan and employer match in compliance with plan document
    • Manage 401(k), HSA and FSA changes, participation, employer contributions, reconciliation, escalations, and bi-weekly funding
    • Manage 401(k) & Worker's Comp annual audits, compliance testing and plan administration
    • Perform other duties as assigned

    Qualifications

    • 5 + years of relevant experience required
    • Experience with ADP Workforce Now required
    • Basic knowledge of general accounting (debits, credits, journal entries, reconciliations) required
    • Knowledge of 401(k) and Health Savings Account (HSA) administration
    • Full cycle payroll experience
    • Strong attention to detail
    • Excellent communication skills, both written and verbal.
    • Excellent organization skills and attention to detail.
    • Proficient in Microsoft Office Suite, especially, Excel (VLOOKUP’s, Pivot Tables, etc.)
    • Problem-solving, time management skills with the ability to multitask and prioritize.
    • Team player, but also self-sufficient.
