JOB SUMMARY:
The Admissions Assistant is responsible for providing assistance to the Director of Admissions for networking, advertising, and developing targets for future referral sources for census development as well as the admission process at the center.
ESSENTIAL FUNCTIONS:
  1. Understanding and implementation of standards, policies and procedures for the admission process.
  2. Assist with and/or administrator and process all daily information for the census.
  3. Work as a team player with the pre-admission review process.
  4. Collect information and funds in securing admissions and bed holds.
  5. Manage multiple assignments in highly pressured situations, meet tight deadlines and schedules.
  6. Formulate professional relationships with referral sources and health care partners in the community
  7. Conduct and develop telephone etiquette, tours and interviews with backup staff, assist in on-site hospital visits as needed.
  8. Review hospital referral information and make decisions on admission based on center policy
  9. Assist with the Director as applicable with maintaining census development by tracking status of occupancy and targeting census mix.
  10. Assist the Director with Admission/Services Barrier Surveys and report findings to the Director of Admissions and Administrator.
  11. Ability to coordinate admissions by researching inquiries and conducting center tours.
  12. Assist in collecting all data to be processed and finalized during the admission process and to pursue admission closings, complete facility admission agreement documents
  13. Notify all staff of scheduled admissions, LOA, bed hold and discharges, update computer systems to reflect changes
  14. Ability to design and implement an admission process which meets the federal, state and company guidelines, including completion of all required documentation, family and/or resident interviews, communication with referred agencies, Administrator, Director of Nursing and/or Assistant Director of Nursing regarding the feasibility of admissions and appropriate placement.
  15. Conduct tours of the facility to prospective resident and their families.
  16. Ability to assist in managing department budget, ensuring availability of needed equipment and supplies.
  17. Attend weekly Department Head meetings as assigned and/or in the absence of the Director and carry out all decisions and plans made.
  18. Attend all required in-services.
  19. Assist in community outreach and planning of Health Talk presentations
  20. Use of PCC CRM Module and referral systems
  21. Promote and demonstrate a culture of Service Excellence.
  22. Perform other duties as assigned.

QUALIFICATIONS:
  1. High School Education and Health Care experience required
  2. Experience working in a long-term care setting preferred.
  3. Demonstrated experience working in public relations and/or sales promotion.
  4. Proficient in Microsoft Office, including Work, Excel, and Adobe.
  5. Excellent interpersonal verbal and written communication skills.
  6. Must be able to work in a fast-paced environment.
  7. Ability to handle confidential information with great sensitivity.
  8. Understanding that this position may require overtime.
  9. Must be flexible, detail-orientation, ability to multi-task, meet deadlines and be able to make effective decisions and work as part of a service excellence team.

  1. Ability to walk, stand or sit for extended periods of time.
  2. Ability to kneel, crawl, reach, and grasp
  3. Ability to pull up to 20 lbs.
