Position Summary
The Safety Administrator provides administrative support to the Safety Department by ensuring the accurate management of safety records, regulatory compliance documentation, training records, incident reporting, and communication with field personnel. This position plays a critical role in supporting the company's commitment to maintaining a safe work environment and ensuring compliance with OSHA, DOT, FMCSA, and customer-specific safety requirements.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced utility construction environment.
Essential Duties and Responsibilities
  • Provide administrative support to the Safety Department and field operations.
  • Maintain employee safety training records, certifications, licenses, and qualification files.
  • Schedule and coordinate new hire safety orientation, ongoing training, and certification renewals.
  • Maintain OSHA, DOT, FMCSA, and customer-required compliance documentation.
  • Process and track incident, accident, injury, near-miss, and property damage reports.
  • Coordinate the collection of accident documentation including photographs, witness statements, and investigation reports.
  • Maintain safety databases, spreadsheets, and electronic filing systems.
  • Prepare weekly and monthly safety reports, dashboards, and KPI metrics.
  • Monitor expiration dates for certifications, medical cards, operator qualifications, and required training.
  • Assist with drug and alcohol testing programs, including pre-employment, random, post-accident, and reasonable suspicion testing.
  • Coordinate fit testing, respirator documentation, hearing conservation records, and other occupational health programs.
  • Track corrective actions resulting from audits, inspections, and incident investigations.
  • Assist with OSHA recordkeeping, including maintaining OSHA 300, 300A, and 301 logs.
  • Support internal and external safety audits and customer compliance reviews.
  • Coordinate safety meetings and prepare agendas, minutes, and support documentation.
  • Order and maintain inventory of safety supplies, PPE, and training materials.
  • Assist with contractor prequalification packages and customer safety submissions.
  • Maintain confidentiality of employee medical and safety records.
  • Support special safety initiatives and continuous improvement programs.
  • Perform other duties as assigned.

Qualifications
  • High school diploma or GED required.
  • Associate's degree in Business Administration, Occupational Safety, or a related field preferred.
  • Minimum of 2 years of administrative experience.
  • Previous experience supporting a safety department within construction, utility construction, manufacturing, transportation, or industrial environments preferred.
  • Knowledge of OSHA regulations and construction safety practices preferred.
  • Experience with DOT/FMCSA compliance is a plus.
  • Experience maintaining confidential records and regulatory documentation.
