Objectif du poste  

L'Administrateur(trice) des operations est tres motive, professionnel et capable de gerer la charge de travail pour soutenir le(s) directeur/trice (s) des operations et hierarchiser les taches dans un environnement d'entreprise en evolution rapide. 
L'administrateur des operations sera charge de fournir un soutien administratif au(x) directeur/trice (s) des operations afin de s'assurer que tous les processus sont executes de maniere efficiente et efficace. L'administrateur des operations suivra et gerera tous les enregistrements, s'assurera les politiques et procedures de l'entreprise sont suivies, facilitent les evenements et les visites de dirigeants et offrent un service client superieur.

Fonctions et responsabilites    

   Aider aux reunions d'equipe, coordonner les horaires et tenir des dossiers a jour
   Coordonner les communications internes et agir comme agent de liaison pour l'equipe de direction
   Rediger des documents, des presentations et des communications sur la cadence etablie (assemblee publique, MBR, Ops Summits)
   Resoudre les problemes operationnels pour garantir des processus efficaces
   Mettre a jour les communications internes (Mur d'accueil, Sharepoint d' Operations)
   Fournir un soutien proactif, opportun et precis a l'equipe sous la forme de la preparation de divers documents, rapports, suivis, presentations, etc.
   Soutenir les activites d'amelioration continue des operations, au besoin
   Auditer et suivre les engagements de l'equipe, les livrables et assurer la responsabilite globale
   Planifier et organiser des visites de cadres et de nouveaux clients
   Gerer les fournitures de bureau (organisation, approvisionnement et budget)
   Mettre a jour et maintenir les systemes operationnels et les informations de maniere organisee
   Diriger l'organisation et l'execution des evenements d'engagement des employes (Evenement d'ete, evenement d'hiver) 
   Faciliter et reserver les voyages d'affaires, au besoin
   Soutenir les initiatives de Transformation d'affaires et d'amelioration continue

Exigences et qualification  

   Baccalaureat en administration des affaires, operations ou domaine connexe
   Minimum de deux ans d'experience dans un poste d'operatons
   Connaissance des ordinateurs, des applications logicielles et de la gestion de bases de donnees
   Solides competences en service a la clientele et en resolution de problemes
   Excellentes competences en communication verbale et ecrite (maitrise du francais et de l'anglais est requise)
   Capable d'effectuer plusieurs taches a la fois, de hierarchiser la charge de travail et de respecter les delais
   Solides competences analytiques et organisationnelles
   Souci du detail et attention a la precision
   Motive et capable de travailler de maniere autonome avec un minimum de supervision

Job Summary:

  • The Operations Administrator is highly motivated, professional, and capable of managing the workload to support the Operations Director(s) and prioritize tasks in a fast-paced corporate environment.
  • The Operations Administrator will be responsible for providing administrative support to the operations Director(s) in order to ensure that all processes are carried out efficiently and effectively. The Operations Administrator will track and manage all records, ensure company policies and procedures are followed, facilitate events & executive visits and provide superior customer service.

Duties & Responsibilites:

  •  Assist with team meetings, coordinate schedules, and maintain records
  • Coordinate internal communications and act as liaison for management team
  • Draft documents, presentations and communications on established cadence (townhall, MBR, Ops Summit)
  • Troubleshoot operational problems to ensure efficient processes
  • Update internal communications (Welcome Wall, Operations Sharepoint)
  • Provide proactive, timely and accurate support to the team in the form of preparing various documents, reports, track, presentations etc.
  • Support continuous improvement activities throughout operations when required
  • Audit & track team commitments, deliverables and ensuring overall accountability
  • Plan and organize Executive & New Customer Visits
  • Manage office supplies (organization, procurement, and budget)
  • Update and Maintain operational systems and information in an organized manner
  • Lead organization & execution of employee engagement events (Summer Event, Winter Event)
  • Facilitate & book travel, as required
  • Support Business Transformation & Continuous improvement initiatives

Requirements & Qualifications

  • Bachelor's degree in Business Administration, Operations, or related field
  • Minimum of two years of experience in an operations position
  • Knowledge of computers, software applications, and database management
  • Strong customer service and problem-solving skills
  • Excellent verbal and written communication skills (proficiency in both French & English is required)
  • Able to multitask, prioritize workload, and meet deadlines
  • Strong analytical and organizational skills
  • Detail-oriented and attention to accuracy
  • Self-motivated and able to work independently with minimal supervision
  • Thorough understanding of operations processes, policies, and procedures
