Job description

Job Description

Atwell is seeking a detail-oriented Administrative Assistant to support our Oil & Gas Engineering team. While this position will provide some general administrative support to our Houston office, the primary focus will be assisting the team with the preparation, formatting, and coordination of client proposals and other professional documents.

This role is ideal for someone who is highly organized, comfortable working in Microsoft Office, and skilled at turning technical content into polished, professional materials. The Administrative Assistant will support team members located across multiple offices and collaborate with Atwell's Marketing team to access approved templates, proposal materials, and shared resources.

This is a hybrid opportunity based in Houston. Employees are encouraged to work from the office approximately two days per week, preferably Monday through Wednesday when more of the local team is onsite.

What You'll Do
  • Support the Oil & Gas Engineering team with the preparation, formatting, and production of client proposals.
  • Organize technical content, scopes, fee information, resumes, project descriptions, and other materials within established templates.
  • Format documents in Microsoft Word and PowerPoint to create accurate, consistent, and professional client deliverables.
  • Review documents for formatting consistency, completeness, grammar, and overall presentation quality.
  • Coordinate with directors, senior leaders, project teams, and other contributors to gather required proposal information.
  • Help manage proposal schedules, deadlines, document versions, and outstanding materials.
  • Partner with Atwell's Marketing team to locate and use approved templates, standard content, project information, and proposal resources.
  • Maintain organized proposal files, templates, and supporting documentation.
  • Assist with presentations, reports, spreadsheets, and other client-facing or internal documents.
  • Provide limited administrative support for the Houston office, including ordering office supplies, snacks, beverages, and other materials.
  • Assist with meetings, special projects, and other team needs as assigned.
What You'll Bring
  • High school diploma or equivalent required; an associate degree or additional education in business, administration, communications, or a related field is preferred.
  • One to three years of administrative, proposal support, project coordination, document production, or related experience.
  • Proficiency with Microsoft Office, particularly Word, Excel, PowerPoint, Outlook, and Teams.
  • Strong document-formatting skills and an eye for layout, consistency, and professional presentation.
  • Excellent organizational skills with the ability to manage multiple requests and deadlines.
  • Strong written and verbal communication skills.
  • High attention to detail and a commitment to producing accurate work.
  • Ability to work independently while coordinating with employees across different teams and locations.
  • A dependable, flexible, and collaborative approach.
Preferred Qualifications
  • Experience supporting proposals, qualifications packages, scopes of work, fee proposals, or other client-facing documents.
  • Experience within engineering, architecture, construction, energy, oil and gas, professional services, or another technical environment.
  • Familiarity with SharePoint, Adobe Acrobat, or document-management systems.
  • Experience working with established templates, brand standards, or shared content libraries.
