Job Description:

Our client is seeking an experienced Administrative Assistant to support project and operational teams with day-to-day coordination, documentation management, and administrative functions. This role will work closely with leadership, project managers, consultants, and internal stakeholders to ensure projects and business operations run efficiently.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities while maintaining professionalism and accuracy.

Key Responsibilities:

  • Assist with project coordination activities including scheduling meetings, tracking timelines, and following up on deliverables
  • Review and organize contracts, consultant agreements, and operational documentation
  • Maintain accurate records and filing systems for project and business-related materials
  • Monitor deadlines, renewals, and compliance-related items associated with contracts and agreements
  • Support communication between internal teams, vendors, consultants, and external partners
  • Prepare reports, presentations, spreadsheets, and other administrative documents
  • Provide operational and administrative support to a larger team and leadership group
  • Help improve internal administrative workflows and processes
  • Assist with special projects and additional operational tasks as needed

Qualifications:

  • 3+ years of administrative, operations, project coordination, or contracts support experience preferred
  • Prior experience supporting project managers, operations teams, or business leadership strongly preferred
  • Exposure to contract review, consultant agreements, or project documentation highly preferred
  • Strong Microsoft Office Suite skills, especially Outlook, Excel, Word, and PowerPoint
  • Experience within the Architecture, Engineering, or Construction industry is a plus
  • Excellent organizational, communication, and multitasking skills
  • Ability to work effectively in a fast-paced, team-oriented environment
