Job description

SUMMARY

Provide administrative support to the Executive Director. Assist in meeting the goals of the property as they relate to revenue management, occupancy, staffing, government compliance, resident satisfaction, quality, safety, and physical condition. Ensure that all company policies are adhered to and that all relevant laws and regulations are complied with.

ESSENTIAL RESPONSIBILITIES include the following. Other duties may be assigned.
  • Maintain occupancy, revenue, expense and budget records. May work on property management software system to track resident information, rents and concessions. Works with Executive Director to maximize revenues and adhere to budgeted cost parameters.
  • Participate in marketing, touring and leasing apartments units. Strive to maintain an acceptable level of occupancy (95% to 100%). May handle the preparation and completion of leases, and resident notices. Ensures all lease paperwork is completed accurately. Runs background checks, collects security deposits.
  • Assist in producing schedules, collecting time cards (as appropriate) and communicate maintenance and housekeeping needs to appropriate staff members.
  • Provide compliance documentation related to building regulations, lease agreements, and governmental requirements which govern the operation of the assigned property. Maintains all resident files, making sure they are complete, accurate and compliant with regulatory guidelines. Ensures that all fair housing standards are met at all times. Comply with OSHA, Workersa Compensation, and any other reporting requirements.
  • Help provide and promote high-quality resident relations. Helps residents with laundry cards, safety pendants, phone charges and other miscellaneous items.
    Review and/or resolve complaints, and alert Executive Director of any unusual activities or problems. Plan and participate in resident relations as directed by Executive Director.
QUALIFICATIONS
  • High school diploma or equivalent; certification from technical school or Associate Degree preferred.
  • 1-2 years of administrative experience, preferably in a property management or real estate environment.
