Job Summary

The Administrative Services Manager provides high-level administrative support and oversight to a team of administrative assistants located across multiple facilities. The role ensures consistency, compliance, and operational efficiency by delegating workloads appropriately, coaching team members, and monitoring adherence to company policies and procedures. The incumbent will coordinate meetings, manage communications, and perform a variety of administrative tasks to support leadership and relieve management of routine clerical duties. 

Responsibilities
  • Supervise and coordinate the work of administrative assistants at assigned facilities, ensuring consistent quality, accuracy, and compliance with operational procedures.
  • Coach and mentor administrative team members to promote professional growth, collaboration, and accountability.
  • Delegate workload effectively and monitor completion of assigned tasks to meet deadlines and operational priorities.
  • Schedule meetings, including coordination of conference rooms, equipment, and related logistics.
  • Read and route incoming correspondence; locate and attach appropriate files and background materials for leadership review.
  • Draft, type, and distribute routine correspondence, reports, and other documents as needed.
  • Maintain organized filing systems (electronic and physical) for correspondence, reports, and confidential records.
  • Answer and direct incoming calls, take messages, and place outgoing calls as necessary.
  • Schedule appointments and maintain calendars for assigned leaders or departments.
  • Greet and assist visitors, determining the nature of business and directing them to the appropriate person or department.
  • Compile data and prepare summaries or reports as requested.
  • Perform other related duties as assigned to support smooth operations.
Minimum Requirements
  • High school diploma or equivalent; associate degree or higher preferred
  • Ability to read, write, and speak the English language
  • 3-5 years of administrative or office management experience
  • At least 1 year of supervisory or lead experience
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Strong verbal and written communication skills
  • Ability to coach, delegate, and oversee work across multiple locations
  • Excellent organizational and time management skills
  • Ability to maintain confidentiality with sensitive information
  • Professional, customer service-oriented demeanor
  • Ability to follow company policies, procedures, and safety standards
Preferred Skills
  • Associate or bachelor's degree in business administration or a related field
  • Experience supporting multi-site or distributed operations
  • Prior experience in aviation, logistics, or transportation environments
  • Familiarity with SAP, SuccessFactors, or similar HR/operations systems
  • Knowledge of scheduling, reporting, and document control procedures
  • Experience coaching or training administrative staff
  • Strong problem-solving and process improvement skills
  • Ability to adapt quickly to shifting priorities and operational needs
Physical Requirements/Working Conditions
  • Prolonged periods of sitting at a desk and working on a computer
  • Frequent walking within office and facility environments
  • Ability to lift, carry, or move items up to 25 pounds occasionally
  • Manual dexterity required to operate standard office equipment such as computers, phones, copiers, and filing systems
  • Ability to hear, speak, and communicate clearly in person and over the phone
  • Visual acuity to read documents, spreadsheets, and computer screens
  • May require occasional travel between facilities for meetings, training, or support
  • Ability to work in fast-paced environments and manage multiple tasks simultaneously
  • May occasionally be required to stand, bend, or reach while performing routine office duties
