Job description

Job Title: Administrative Assistant
The administrative assistant supports management, staff, and office operations by handling various administrative tasks. This role ensures that the office functions efficiently by performing duties such as Scheduling, Document management and clerical work.
Key Responsibilities:

  • Maintain organized filing systems (both digital and physical)handleoffice supply inventory and ensure smooth operation of office equipment
  • Coordinate appointments, meetings and conferences. Manage calendars for senior staff and ensure meetings are appropriately scheduled
  • Answer phone calls, respond to emails and handle correspondence, including drafting routine letters and memos. Act as a point of contact for external clients and vendors.
  • Assist in preparing reports, spreadsheets and other documentation as required.
  • Maintain accurate databases and records; input data into systems and generate reports when needed.
  • Coordinate travel plans, book accommodations and prepare travel itineraries for staff.
  • Greet visitors, answer inquiries and direct them to the appropriate departments. Provide exceptional costumer service to both internal and external clients.
  • Perform clerical duties, such as copying,faxingscanning and ordering office supplies.
Required qualifications:
  • Strong proficiency in Microsoft office suite (Word, excel, PowerPoint, outlook)
  • Excellent written and verbal communication skills.
  • Ability to prioritize tasks and multitask efficiently
  • Strong attention to detail and problem-solving skills
