Are you highly organized, resourceful, and energized by helping a busy team run smoothly? Yellowstone Landscape is seeking an Office Manager to serve as a key partner to our Branch management team.

Our Office Managers are at the center of Branch operations, supporting our managers and employees while serving as an important liaison between the Branch and Yellowstone’s Field Support teams. What You'll Do:

  • Support the Branch Manager and field management team with day-to-day administrative and operational needs
  • Track and process documentation for billing, contract administration, and customer-related processes
  • Coordinate purchase orders, vendor documentation, invoices, fuel cards, and other Branch purchasing activities
  • Support timekeeping, payroll, incentive, and employee status-change processes
  • Coordinate new hire paperwork, I-9s, pre-employment requirements, uniforms, and other onboarding needs
  • Coordinate purchasing activities, including Purchase Receipts, Purchase Orders, vendor administration, invoice processing, and supporting documentation.
  • Support branch operations through Yellowstone's business systems, including employee time, purchasing, billing, work orders, contracts, and related administrative processes.
  • Assist with billing and purchasing discrepancies
  • Coordinate with Field Support Accounting and Financial Analyst
  • Maintain organized Branch records, licenses, permits, vehicle/equipment documentation, and other required administrative files
  • Assist with claim documentation for auto, property damage, workers’ compensation, and other incidents
  • Coordinate with Human Resources, Accounting, IT, Administrative Management, and other Field Support teams to resolve questions and keep Branch processes moving
  • Greet visitors, manage incoming calls and deliveries, and help maintain a professional Branch office
  • Assist with Branch systems and administrative updates, including route and operational information as needed

You may be working on payroll, helping a new employee, resolving an invoice issue, supporting a manager, and coordinating with one of our Field Support teams - all in the same day. Priorities can change, and several people may need your help at once.   • Professional, approachable, and a good listener who can work effectively with employees and managers at all levels
  • Proficient with Microsoft Office and comfortable learning new business systems
  • Three years of prior experience in an Office Manager, Administrative Assistant, or similar role
  • Prior experience with financial or business software preferred
  • Bilingual English/Spanish skills are a plus
  • Associate degree in business or related field preferred
