Administrative Operations Assistant
Location: Santa Rosa, CA
Schedule: Full-Time

Position Overview
A growing medical device company in Santa Rosa is seeking a highly organized and detail-oriented Administrative Operations Assistant to support daily business operations and special projects. This role is ideal for someone who enjoys administrative work, organizing information, improving processes, and supporting multiple departments.
The successful candidate will be dependable, proactive, and comfortable managing confidential information while balancing day-to-day administrative responsibilities with project-based work.

Responsibilities
  • Provide administrative and operational support to department leadership.
  • Manage electronic and physical files, ensuring accuracy and organization.
  • Lead a large-scale document scanning, indexing, and digital filing project.
  • Upload and organize hard-copy documents into electronic document management systems.
  • Maintain confidential records with a high degree of accuracy.
  • Coordinate meetings, calendars, and administrative tasks as needed.
  • Prepare reports, spreadsheets, and other business documents.
  • Assist with process improvements and workflow organization.
  • Support cross-functional teams with administrative and operational needs.
  • Perform additional administrative duties and special projects as assigned.
Qualifications
  • 3+ years of administrative, operations, or office support experience.
