Rack & Riddle Custom Wine Services, the #1 custom sparkling wine producer in the United States, is seeking to add an Administrative Assistant to our team.
The Administrative Assistant keeps the company's sales and corporate office running smoothly, serving as the welcoming face of the office and the coordination hub for meetings, supplies, and day-to-day operations. This role owns office support and assists with meeting coordination including preparation and cleanup for board meetings. Manages office and break room supplies so that teams have what they need to work effectively.
In addition to front-desk and office coordination, the Administrative Assistant provides day-to-day administrative support to the leadership team based at the sales and corporate office. The ideal candidate is organized, personable, proactive, and comfortable managing multiple priorities in a professional, fast-paced environment.
Essential Responsibilities
Reception & Front Desk
• Greet and welcome visitors, clients, and guests, ensuring a professional and hospitable first impression.
• Answer, screen, and route incoming calls and general inquiries.
• Receive and distribute mail, packages, and deliveries; coordinate courier and shipping needs.
• Maintain a clean, organized, and presentable reception area and common spaces.
Meeting Coordination
• Prepare for and clean up after board meetings, sales meetings, and leadership gatherings, including room setup, seating, and audio/visual arrangements.
• Order and coordinate catering and refreshments for meetings and events.
• Ensure meeting and conference spaces are stocked, functional, and ready for use.
Office Operations & Supplies
• Own the ordering and management of office supplies, ensuring stock levels meet the needs of the office.
• Order and maintain snacks, beverages, and kitchen/break room supplies.
• Coordinate with vendors and building services for office needs, maintenance, and repairs.
• Keep common areas, kitchens, and supply areas organized and presentable.
Leadership & Administrative Support
• Provide day-to-day administrative support to the leadership team at the sales and corporate office.
• Assist with calendar management, scheduling, and coordination of internal and external meetings.
• Support travel arrangements, itineraries, and expense documentation as needed.
• Prepare, format, and proofread correspondence, reports, and presentations.
• Handle confidential information with discretion and professionalism.
Events & General Support
• Support the planning and execution of company events, meetings, and team gatherings.
• Assist with general operational and administrative tasks as assigned to keep the office running efficiently.
Requirements
The successful candidate's background includes:
• 1-3 years of administrative, receptionist, or office support experience (sales or corporate office environment preferred).
