Administrative Team Lead

Position Overview

The Administrative Lead serves as both a hands-on member of the administrative team and the primary leader responsible for supporting, training, and developing administrative staff across all offices. This position oversees the coordination of administrative training, scheduling, customer service initiatives, and operational procedures while promoting a professional and collaborative work environment.

Key Responsibilities

  • Lead, train, mentor, and supervise Administrative Assistant team members across all locations.

  • Work full-time as an active member of the administrative team.

  • Prepare and distribute the weekly administrative staff schedule.

  • Create, maintain, and update a comprehensive Administrative Assistant training guide.

  • Assist in developing, implementing, and maintaining administrative policies and procedures.

  • Build and maintain strong working relationships with referring physicians and their staff to support appointment coordination and patient care.

  • Develop and facilitate customer service training programs for administrative personnel.

  • Train and support staff in conducting patient financial treatment consultations.

  • Collaborate with the Practice Administrator to assess training effectiveness and support special projects and operational initiatives.

  • Maintain proficiency in administrative and practice management software, including WINOMS, Patient Manager, PBHS referral systems, and third-party financing programs.

  • Promote positive working relationships and address workplace challenges in a constructive and solution-focused manner.

  • Identify problems, recommend solutions, and actively participate in resolving issues.

  • Participate in compliance initiatives and promptly report concerns or improprieties to the appropriate management personnel.

  • Deliver consistently high-quality customer service aligned with the organizationโ€™s mission and values.

  • Protect the confidentiality of patient, physician, referring physician, employee, and visitor information.

  • Discuss confidential matters only with appropriate personnel and in appropriate settings.

  • Represent the organization professionally and consistently with its mission, vision, and values.

Education & Experience

  • Associateโ€™s or Bachelorโ€™s degree in a related field, or equivalent professional experience.

  • Minimum of three years of experience in an administrative, supervisory, or managerial capacity.

Qualifications

  • Strong self-motivation, confidence, and professionalism.

  • Excellent written and verbal communication skills.

  • Strong interpersonal skills with the ability to establish and maintain positive relationships with physicians, management, and colleagues.

  • Effective analytical and problem-solving abilities.

  • Strong organizational skills and the ability to manage multiple priorities.

  • Basic computer proficiency, including Microsoft Word and Excel.

  • The ability to lead by example while providing support, guidance, and accountability to administrative team members.
