Job description

The Metrix Company is seeking a full-time Administrative Associate to provide support for Accounting, Customer Service, Sales, and other departments as needed. Duties include, but are not limited to:


  • Execute the weekly A/P check run and distribute payments to vendors.
  • Maintain open A/P invoice files and process documents immediately upon payment.
  • Manage the annual archive process by creating new fiscal year files and securing prior-year records in the vault.
  • Conduct routine collection activities by contacting customers with past-due invoices according to schedule.
  • Generate and distribute weekly A/R aging reports to the management team.
  • Support the invoice process to ensure accurate billing.
  • Execute annual A/R file transitions and setup.
  • Serve as primary backup to the Administrative Assistant for processing A/R check deposits.
  • Match and clear paid invoices against received A/R check payments during administrative assistant absences.
  • Input monthly balanced expense reports.
  • Calculate open invoices at the beginning of each new month.
  • Collaborate with Accountant to complete month-end closing activities.
  • Manage customer inquiries by phone and email; provide backup support to the Customer Service Coordinator as needed
  • Assist with preparing shipments as needed.
  • Coordinate trade show and event logistics, including registration, materials, and travel arrangements
  • Maintain customer account data and conduct research to support account growth and leadership outreach
  • Assist with customer programs and projects, track follow-ups and project milestones on behalf of leadership
  • Assist Document Control with scanning and filing of records.


Qualified applicants will possess a high school diploma or equivalent with previous clerical experience. An Associates Degree in Business, Accounting, or related field is preferred. Computer proficiency and general clerical skills required. Must possess an attention to detail, the ability to manage multiple projects, and maintain confidentiality.
