In this role, you will provide high-level administrative support to multiple Directors and Executive leaders across the organization while helping keep day-to-day operations organized, efficient, and moving forward.

This is a hands-on position for someone who thrives in a fast-paced environment, enjoys managing a variety of priorities, and can confidently support multiple leaders with different needs and responsibilities. From scheduling and meeting coordination to travel arrangements, correspondence, document preparation, and routine administrative tasks, you will play an important role in helping our leadership team stay focused and effective.

Your Role as an Executive Assistant

As an Executive Assistant at Shangri-La, you will provide administrative support to multiple Directors and members of the Executive team. Your typical schedule will be Monday through Friday, with responsibilities that may shift depending on business and leadership needs.

Day-to-day responsibilities may include managing calendars, scheduling and coordinating meetings, preparing agendas and meeting materials, organizing travel arrangements, drafting correspondence, preparing reports and presentations, maintaining records and documentation, and assisting with routine administrative requests.

You will also help coordinate communication and follow-up between departments, track action items and deadlines, assist with special projects, and support leaders with the day-to-day tasks necessary to keep their departments operating efficiently.

This position requires someone who can anticipate needs, identify priorities, and take ownership of assignments with limited direction. Because you will support multiple leaders, the ability to stay organized, exercise good judgment, maintain confidentiality, and quickly adjust priorities will be essential.

To be successful in this role, you should be highly organized, dependable, and comfortable managing multiple priorities at once. Strong written and verbal communication skills are essential, along with excellent attention to detail and the ability to interact professionally with employees, leadership, vendors, and external partners.

Strong time management, discretion, adaptability, and professionalism are especially important in this position. Experience working with Microsoft Office, Google Workspace, calendar management, document preparation, and other administrative systems is preferred.
