Job Description
Project Coordinator
This position is an excellent opportunity for a motivated and highly skilled administrative professional who wishes to be part of our expanding team. The Project Coordinator will play a key role in helping our engineering staff successfully deliver Muller's numerous projects throughout Colorado for state and local public agencies.
The Project Coordinator provides project management, contract coordination and drafting, financial tracking, and general project coordination support throughout the project lifecycle. The successful candidate must be self-motivated, detail-oriented, organized, dependable, helpful, flexible, proactive, and willing to perform a variety of tasks while managing multiple priorities and deadlines.
Essential Duties and Responsibilities
  • Provide coordination and planning support to Project Managers/Engineers on multiple projects through planning, design, and construction phases.
  • Support project initiation and setup, including establishing project files, project management documentation, internal tracking tools, and project records in Deltek Vantagepoint and other company systems.
  • Coordinate and draft project agreements, task orders, amendments, and subconsultant agreements, including revisions, required supporting documentation, internal review and approvals and filing.
  • Assist project managers with coordinating and preparing project documents and correspondence, document filing, QA/QC compliance, reporting, and project records management.
  • Utilize Deltek Vantagepoint and other project management tools to support project setup, planning, resource management, budget and labor-hour tracking, scheduling, financial monitoring, and project closeout.
  • Assist Project Managers and accounting staff with project invoicing activities, billing documentation, financial information, and resolution of project billing or administrative issues.
  • Organize agendas, minutes, and presentation materials to facilitate effective meetings.
  • Coordinate meetings, webinars, seminars, conferences, training, and travel accommodations for department staff.
  • Perform proofreading, technical editing, formatting, and digital accessibility conformance work for a variety of technical and administrative documents.
  • Other duties as assigned.

Job Requirements
Education/Experience Requirements and Desired Traits
  • Associate or bachelor's degree in a closely related field or an equivalent combination of education and related professional experience.
  • 5+ years of experience as a project coordinator, administrative assistant, or similar role, preferably within the civil engineering, architecture, construction, or professional consulting industry.
  • High proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint, Teams, and SharePoint).
  • Working knowledge of project and task management software; experience with Deltek VantagePoint software preferred.
  • Experience with contract coordination, drafting agreements and amendments, project financial tracking, document management, or project controls preferred.
  • Excellent written and verbal communication skills with strong proofreading and attention to detail.
  • Strong planning, organizational, time-management, and prioritization skills with the ability to manage multiple projects and competing deadlines.
  • Ability to work independently, take initiative, exercise sound judgment, demonstrate high-level thinking and problem-solving skills, and follow responsibilities through to completion.
  • Willingness and ability to learn and adapt to new technologies, software, processes, and methodologies.
  • Excels at building and maintaining professional relationships, collaborating effectively across departments, and providing outstanding support to internal and external clients.
