General Administrative Specialist
Location: New Castle County, Kent County
Schedule: Full Time | Monday–Friday
Pay Rate: $15.00–$18 per hour
Key Responsibilities:
• Provide administrative support to management and department staff.
• Manage calendars, schedule meetings, and coordinate appointments.
• Prepare, proofread, and distribute correspondence, reports, presentations, and other business documents.
• Maintain and organize electronic and paper filing systems.
• Enter, update, and maintain accurate records and databases.
• Answer and direct incoming phone calls, emails, and visitor inquiries.
• Coordinate office operations, including supply inventory, equipment requests, and facility needs.
• Assist with onboarding paperwork and administrative processes for new employees.
• Prepare meeting agendas, record meeting minutes, and track action items.
• Support special projects, events, and departmental initiatives as assigned.
• Process incoming and outgoing mail and packages.
• Serve as backup support for reception and front-office functions as needed.
• Report directly to the office manager or department supervisor.
Compliance:
• Follow all company, state, and federal policies and procedures.
• Properly secure sensitive information and maintain confidentiality.
• Adhere to data privacy, records retention, and information security requirements.
• Maintain strict computer and office security standards.
• Comply with organizational policies, workplace safety requirements, and applicable employment regulations.
Quality of Work:
• Maintain a high level of accuracy and attention to detail.
• Complete assignments in a timely and professional manner.
• Ensure records and documentation are organized, current, and accurate.
• Demonstrate initiative in identifying process improvements and efficiencies.
• Provide exceptional customer service to internal and external stakeholders.
Qualifications:
• High school diploma or GED required; Associate’s degree in Business Administration, Office Management, or related field preferred.
• Minimum of 2 years of administrative, clerical, or office support experience preferred.
• Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
• Strong organizational, communication, and interpersonal skills.
• Ability to maintain confidentiality and exercise discretion.
• Strong problem-solving skills and attention to detail.
• Ability to work independently and as part of a team.
