Job description

We are seeking a dependable, organized, and detail-oriented Part-Time Office Administrator / Bookkeeper to assist with the day-to-day administrative and light bookkeeping needs of our office.

This is a great opportunity for someone who enjoys a varied role and is comfortable handling everything from answering phones and scheduling appointments to accounts receivable, bill payments, filing, and general office operations.

The ideal candidate is professional, trustworthy, organized, and comfortable working independently.

Responsibilities

Administrative & Office Support

  • Answer incoming phone calls and take accurate messages
  • Schedule and coordinate appointments
  • Perform light typing and general administrative duties
  • Maintain organized paper and electronic files
  • Order and maintain office supplies
  • Assist with general office organization
  • Help coordinate basic building maintenance as needed
  • Assist with opening the building and securing/locking the building at the end of the day

Bookkeeping & Accounts Receivable

  • Maintain accounts receivable records
  • Post client bills and payments
  • Prepare and mail monthly client statements
  • Assist with routine bill payments
  • Perform light bookkeeping for business accounts
  • Maintain basic financial records for three partnerships and two trusts
  • Ensure bookkeeping and payment records are accurate and up to date

Qualifications

  • Previous administrative, office, or bookkeeping experience preferred
  • Experience using accounting or bookkeeping software
  • Basic understanding of accounts receivable and bill payment processes
  • Strong organizational and time-management skills
  • Excellent attention to detail and accuracy
  • Professional phone and communication skills
  • Comfortable handling confidential financial and business information
