Position Title: Sr Manager, Marketing Operations and Technology 
Status: Full Time

JOB SUMMARY & KEY PRIORITIES
To support our next chapter of growth, Active Minds is seeking a Senior Manager of Marketing Operations & Technology to serve as the operational anchor for our Marketing Communications team. Because we manage a growing volume of complex projects, events, and campaigns simultaneously, we need a leader who can orchestrate scalable workflows, clear project bottlenecks, and keep our teams aligned and on schedule. 
In this role, you will oversee our project management processes and ensure our primary MarTech platforms are fully integrated and optimized. By pairing strong project management practices with effective digital tools, you will provide the structural support and processes our MarComm team needs to execute bold ideas and mission-driven strategies. Additionally, you will help the organization stay ahead of emerging digital trends and AI capabilities. KEY RESPONSIBILITIES
1. Marketing Project Management and Workflow Architecture
  • Scale Impactful Workflows: Develop, optimize, and scale project management workflows within ClickUp to seamlessly guide omni-channel campaigns, events, creative content, and digital media production from initial concept to execution.
  • Campaign Trafficking & Resource Management: Act as the central heartbeat of marketing delivery. Proactively manage timelines, capacity, resolve bottlenecks, align cross-functional resources, and oversee the trafficking and deployment of paid advertising, digital media, and creative assets to ensure deadlines and budgets are met.
  • Build the Operational Playbook: Establish, document, and champion a unified marketing playbook of Standard Operating Procedures (SOPs). This will foster brand governance, ensure channel consistency, and eliminate manual friction so the team can focus on driving impact and achieving organizational goals.
  • Cross-Functional Collaboration: Serve as the primary organizational conductor, streamlining communications and aligning priorities between MarComm, IT, Programs, Development, Operations and partners and stakeholders.
2. MarTech Strategy and System Enablement
  • Future-Proof the Tech Stack: In close partnership with IT, develop and execute a forward-looking MarTech roadmap. Ensure our marketing automation, content management systems, website, lead generation tools, and social infrastructure scale effectively alongside our growing national presence.
  • CRM Governance & Data Integration: Serve as the primary marketing administrator for ClickUp, Sprout Social, and Salesforce CRM data integrations. Conduct regular system health audits to maintain data hygiene, ensure seamless data synchronization between systems, and optimize user licensing.
  • Advertising & Channel Enablement: Configure and maintain the technical backend of our marketing ecosystem to support digital advertising tracking, custom landing page conversion funnels, pixel tracking, and targeted audience segmentation within the CRM.
  • Trend & AI Adoption: Stay on the pulse of emerging marketing technologies, website optimization strategies, and practical AI capabilities. Continuously identify, vet, and pilot new tools that can amplify the MarComm team's reach, performance, and efficiency.
  • Team Leadership & Digital Literacy: Design and lead continuous training sessions to demystify complex workflows, increase software adoption, and champion ongoing technical enablement across the marketing department.
3. Performance Tracking and Dashboard management
  • Operational & Marketing Dashboards: Build and maintain real-time, actionable dashboards to track projects, resource utilization, and asset delivery pipelines.
  • Unified Performance Reporting: Partner across the MarComm to synthesize marketing analytics from our website, digital advertising accounts, social platforms, and Salesforce CRM—turning raw data into actionable insights that optimize ROI and shape future campaign strategies.
  • Vendor Ecosystem Management: Lead the relationships, contract evaluations, and troubleshooting with track MarTech platforms to maximize our organizational investments.
ABOUT YOU
  • 5–8+ years of progressive experience in Marketing Operations, MarTech management, or technical project management within a fast-paced non-profit, corporate or agency environment.
  • At least 5+ years of hands-on experience embedded within a marketing department or advertising agency, specifically balancing creative project management with rigorous systems administration.
  • Bachelor’s degree in Business Administration, Marketing, Information Technology, or a related field (or equivalent practical experience).
  • Power-user proficiency in ClickUp (or in tools like Asana).
  • Deep, hands-on familiarity with digital architecture, media tracking, website analytics, Google analytics, and marketing automation integration, and Salesforce CRM.
  • Robust experience managing enterprise social media suites (specifically Sprout Social).
You need to have:
  • Strong, practical understanding of project management frameworks specifically for creative, content, and marketing teams.
  • A natural troubleshooter with the technical fluency to independently diagnose and solve API or integration glitches between disconnected platforms.
  • Exceptional communication skills with a proven ability to manage complex stakeholder expectations, resolve operational conflicts, and influence without direct authority.
  • Project Management Professional (PMP) or Certified ScrumMaster (CSM) designations are highly preferred.

COMPENSATION 
This position offers an initial range salary of $80,850–$91,700 along with robust benefits. The starting pay for this position is equal to others at the same level throughout the organization. Candidates whose experience meets both the minimum and preferred qualifications may be considered for a starting salary that exceeds the current amount. The role sits within Active Minds Level 4 salary band, and as such, has the potential to grow to $113, 400 over time. FLSA Status: Exempt.
