Job description

Job Title: Finance Clerk

Reports to: Theresa Heidemann, Director of Finance

Employment status: Full-time

Position Summary

The Finance Clerk is responsible for providing accounting, accounts payable, bookkeeping, and administrative support while ensuring the accurate and timely processing of financial transactions. This position processes vendor invoices and payments, maintains financial records, reconciles accounts, supports general ledger activities, and assists with the daily operations of the accounting department. The ideal candidate is detail-oriented, organized, and able to manage multiple priorities in a fast-paced environment.

Essential Duties and Responsibilities

  • Process vendor invoices accurately and in a timely manner
  • Match purchase orders, receiving documents, and invoices for payment approval
  • Prepare and process vendor payments, including checks, ACH, and credit card transactions
  • Maintain vendor records, reconcile vendor statements, and resolve invoice or payment discrepancies
  • Manage recurring ACH and credit card payments
  • Assist with month-end and year-end accounts payable closing activities
  • Post routine journal entries to the general ledger
  • Code and allocate expenditures to the appropriate general ledger accounts
  • Maintain accurate financial records and supporting documentation in accordance with company policies and accounting standards
  • Provide timely and professional customer service to vendors and internal departments
  • Recommend process improvements to increase efficiency and accuracy within the accounting function
  • Perform other related accounting and administrative duties as assigned

Qualifications

Education

  • High school diploma or equivalent required
  • Associate or bachelor’s degree in accounting, finance, business, or a related field preferred

Experience

  • Two to three years of experience in accounting, bookkeeping, accounts payable, or a related financial role preferred
  • Experience with invoice processing, vendor payments, account reconciliations, and general accounting functions

Knowledge, Skills, and Abilities

  • Working knowledge of accounting principles and bookkeeping practices.
  • Understanding of accounts payable processes and financial recordkeeping.
  • Strong attention to detail, organizational skills, and time management abilities.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to work independently and manage multiple priorities while meeting deadlines.
  • Proficiency in Microsoft Office, especially Excel.
  • Experience with accounting software such as QuickBooks, Encore, or similar ERP/accounting systems.
  • Ability to maintain confidentiality and handle sensitive financial information.
