Key Responsibilities

  • Process and Verify Payments: Stamp documents supporting cash disbursements, including vendor invoices, receiving reports, and purchase orders, ensuring completeness and accuracy before processing payments.
  • Vendor Management: Maintain and update the approved vendor list, including W-9 forms, and verify taxpayer status.

  • Timely Payments: Ensure prompt payment of invoices, clothing, and prescription vouchers, adhering to schedules.
  • Account Reconciliation: Monthly reconciliation of accounts payable transactions across various programs to ensure financial accuracy.
  • Documentation & Data Entry: Enter invoices and requisitions into accounting software accurately; prepare journal entries for manual checks.
  • Dispute Resolution: Investigate and resolve discrepancies related to purchase orders, invoices, or billing.
  • Compliance & Reporting: Assist with audits, budget preparation, and fiscal year-end closings. Maintain detailed and accurate accounts payable reports and documentation.
  • Support Tasks: Distribute checks and mail vendor payments, and respond to vendor inquiries professionally.


Essential Skills & Qualifications

  • Educational Background: High school diploma or GED, supplemented with at least 6 college semester hours or 9 quarter hours in accounting.
  • Experience: Minimum of 2 years in accounts payable or relevant financial roles preferred; equivalent combination of education and experience considered.
  • Knowledge: Familiarity with GAAP and OMB regulations for non-profit organizations (or willingness to learn).
  • Technical Skills: Proficiency in accounting software; strong Excel and data management skills.
  • Communication: Excellent written and verbal communication skills; able to interpret and follow complex instructions.
  • Attention to Detail: Exceptional accuracy and organizational skills to manage multiple priorities in a fast-paced environment.
