Job description


We are seeking a dependable, detail-oriented Administrative Assistant to join our team. This position provides administrative and accounts payable support to the Controller while helping maintain an organized and efficient office environment. The ideal candidate is a self-starter with strong organizational skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced manufacturing environment.

Responsibilities

As our Administrative Assistant, you will:

  • Process accounts payable invoices accurately and in a timely manner.
  • Match purchase orders, packing slips, and vendor invoices for payment.
  • Prepare and process weekly check runs.
  • Reconcile vendor statements and resolve invoice discrepancies.
  • Maintain organized accounts payable files and records.
  • Assist the Controller with month-end accounts payable reporting and other accounting duties.
  • Provide administrative and clerical support to the Controller and office staff.
  • Maintain accurate records and perform data entry in QuickBooks and other business systems.
  • Answer phones, greet visitors, file documents, and assist with general office operations.
  • Perform other administrative and accounting duties as assigned.

Qualifications

We're looking for someone who has:

  • 1+ years of office or administrative experience preferred (but we're willing to train the right candidate).
  • Familiarity with bookkeeping and basic accounting principles.
  • Experience with QuickBooks and Microsoft Excel preferred.
  • Strong data entry and computer skills.
  • Excellent organizational and time management abilities.
  • Effective written and verbal communication skills.
  • High attention to detail and accuracy.
  • A positive attitude, reliability, and strong problem-solving skills.
  • Ability to multitask and work independently as well as part of a team.
