The Position

The accounting assistanr will provide essential support to the accounting department by performing various financial tasks and ensuring accurate and efficient recording of financial transactions. The role involves maintaining financial records, reconciling accounts, preparing reports, and assisting with administrative duties.

Responsibilities

Accounts Payable:

  • Process and record vendor invoices, ensuring accuracy and adherence to company policies.
  • Verify invoices for appropriate documentation and approval.
  • Prepare and process payment disbursements, including checks, electronic transfers, and wire payments.
  • Reconcile vendor statements and resolve any discrepancies.
  • Maintain accounts payable files and records.

Accounts Receivable:

  • Generate customer invoices and statements accurately and timely.
  • Monitor and follow up on outstanding customer balances.
  • Process customer payments and record transactions.
  • Reconcile customer accounts and resolve any billing discrepancies.
  • Prepare and analyze aging reports.

General Ledger and Bookkeeping:

  • Maintain accurate and up-to-date general ledger entries.
  • Assist in month-end and year-end closing procedures.
  • Reconcile and analyze balance sheet accounts.
  • Prepare journal entries and post them to the general ledger.
  • Assist with financial statement preparation and analysis.

Financial Reporting:

  • Assist in the preparation of financial reports, including income statements, balance sheets, and cash flow statements.
  • Compile and analyze financial data to support decision-making processes.
  • Prepare various financial and operational reports as requested.
  • Ensure compliance with relevant accounting principles and standards.

Bank Reconciliation:

  • Prepare bank deposits and record transactions.
  • Reconcile bank statements with the general ledger.
  • Investigate and resolve any discrepancies between the bank records and internal accounts.
  • Monitor and record bank fees and interest.

Data Entry and Recordkeeping:

  • Accurately enter financial data into the accounting system.
  • Maintain organized and up-to-date financial records and files.
  • Assist with data entry for payroll and expense reports as needed.

Administrative Support:

  • Provide administrative support to the accounting department, including filing, organizing documents, and maintaining office supplies.
  • Assist with document preparation for audits and tax filings.

Compliance:

  • Ensure compliance with accounting policies, procedures, and regulatory requirements.
  • Stay updated on changes in accounting regulations and standards.
  • Assist with internal and external audits as required.

Requirements and Skills

  • Bachelor's degree in Accounting
  • 1 years’ experience in accounting cycle or finance role is desirable.
  • Bilingual (English and Spanish).
  • Proficiency in using accounting software (e.g., QuickBooks, SAP, or similar systems).
  • Solid understanding of basic accounting principles and concepts.
  • Excellent attention to detail and accuracy in data entry and calculations.
  • Strong organizational and time management skills.
  • Professional communication skills, both written and verbal.
  • Ability to work collaboratively in a team environment.
  • Basic knowledge of financial statements and reporting.
  • Familiarity with relevant accounting regulations and compliance standards.
  • Proficiency in MS Office Suite, particularly Excel for data analysis and reporting.

  • While performing the duties of this job, the employee is regularly required to talk and listen.
  • The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
  • The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl.
