Key Responsibilities of the Accounting & Payroll Administrator

As an Accounting & Payroll Administrator, you will:

  • Process payroll through Paychex, including timesheet review and payroll preparation
  • Manage employee onboarding, rehires, terminations, and personnel records
  • Support benefits administration and PTO/vacation tracking
  • Assist with employee relations, training records, and disciplinary documentation
  • Review and maintain payroll-related data, including tip pools and employee records
  • Process accounts payable invoices and ensure accurate coding and documentation
  • Upload invoices into inventory and accounting systems
  • Process vendor payments via check, ACH, and virtual credit card transactions
  • Perform vendor and bank account reconciliations
  • Assist with general ledger reconciliations and journal entries
  • Support month-end close and financial statement preparation
  • Assist with annual budget setup and maintenance
  • Calculate and track inventory-related cost of goods sold (COGS)
  • Answer phones, assist members/customers, manage correspondence, and support office operations
  • Perform administrative duties and special projects as needed
Preferred Qualifications of the Accounting & Payroll Administrator
  • 4+ years of experience as an Accounting & Payroll Administrator or in a similar accounting role
  • Paychex experience required
  • Payroll processing experience required
  • Accounts payable experience required
  • Human resources administrative experience required
  • Experience with bank reconciliations and vendor reconciliations
  • Experience supporting month-end close activities
  • Journal entry and general ledger experience
  • Strong organizational and time-management skills
  • Ability to handle sensitive and confidential employee information
  • Benefits administration experience preferred
  • Budget preparation and financial statement experience preferred
  • Experience with inventory systems and COGS calculations preferred
  • Hospitality, restaurant, club, food & beverage, or service industry experience is a plus
