Job description

Position Objective:  The on-site Property Support Assistant for the NIAMS Intramural Research Program (IRP) shall provide assistance with equipment identification, surplus coordination, and locating missing government property to ensure full accountability and compliance with NIH property management requirements.  The role shall perform operational tasks that support the NIAMS Property Accountability Officer (PAO) in maintaining accurate property records. Work shall include identifying new property, assisting with surplus activities, and participating in efforts to locate missing equipment across NIAMS laboratories and administrative areas.


Duties and Responsibilities:

Task 1: New Equipment Identification & Decal Coordination
•    Identify new equipment delivered to NIAMS locations.
•    Verify that new items correspond with purchase or delivery documentation.
•    Determine which items require NIH property decals based on established guidelines.
•    Coordinate with the PAO regarding tagging and documentation requirements.


Task 2: Surplus Processing & Documentation Support
•    Conduct on site reviews of rooms, labs, and storage areas to identify items eligible for surplus.
•    Compile and submit accurate lists of surplus ready items to the PAO.
•    Prepare and attach surplus documentation—including tags, forms, and required labels—to the physical property.
•    Coordinate staging and readiness of equipment for NIH surplus pickup.


Task 3: Missing Equipment Search & Inventory Resolution
•    Assist the PAO in locating property flagged as missing during inventory cycles.
•    Perform physical walkthroughs of assigned locations to verify the existence and placement of equipment.
•    Engage with staff to determine whether property has been moved, reassigned, loaned, or relocated.
•    Document findings and provide updated information to the PAO to support inventory correction and accountability.

DELIVERABLES
1.    Weekly Equipment Activity Report to include new equipment identified, items requiring decals, surplus inventory lists, missing items found or pending.
2.    Surplus Documentation Packets (as needed) to include completed surplus forms, attached tags and identifiers, inventory updates related to removal.
3.    Monthly Inventory Status Summary to include progress in locating missing items, outstanding discrepancies, recommendations for improving property tracking processes.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS
•    Work is performed on-site across NIH Bethesda Campus facilities. 
•    Requires frequent walking between buildings, labs, and offices. 
•    Ability to lift and move small to mid-sized equipment as needed. 
•    Regular, consistent on-site presence is required.
 

Basic Qualifications:

  • Minimum education of high school diploma
  • 4+ years’ experience providing support related activities, or 2 years with an Associate’s, or no experience with a Bachelor’s Degree in a related field.
  • Knowledge of federal property management regulations and inventory processes.
  • Ability to perform physical verification of equipment in laboratory settings.

  • Strong organizational and documentation skills.
  • Effective interpersonal and communication skills.
  • Ability to manage multiple concurrent tasks in a dynamic environment.
