Job description

SOLVERE is looking for an efficient and detail-oriented Administrative Support staff member to join our team with a focus on Compliance and Regulatory Affairs functions. The ideal candidate will provide administrative support to ensure the efficient operation of the office.
Job Responsibilities Include:
  • Provide administrative support tasks related to Compliance and Regulatory Affairs functions. Travel, Acquisitions, Purchase Cards, Space and Real Property Management.
  • Respond to ITA and Departmental Data-Calls relating to travel, acquisition, property management, fleet, space and facilities management.
  • Draft email communication, reports and taskers for OCFAO internal and ITA -wide dissemination.
  • Assist MOD staff with drafting automating, and streamlining MOD policies, processes, procedures, and Data Calls.
  • Produce MS Word, MS Excel, and MS PowerPoint communications deliverables as requested by MOD team leads.
  • General file keeping of MOD electronic documents.
  • Assist with forms management, mail management, DOC Symbols and Logos, and organizational charts.
  • Assist with coordination and implementation of ITA/OCFAO/MOD meetings.
  • Serve as a backup for MOD programs such as passport/visa, travel card, transit benefits, parking, and other MOD support as needed.
  • Provide E2 and manual Travel Preparer support to OCFAO and Office of the Under Secretary (OUS) personnel by assisting with travel authorizations, vouchers, local travel vouchers, travel reservations, Premium-Class Travel requests, Departmental and ITA coordination, etc.
  • Provide Sunflower Personal Property System support and perform transactions like Government Property Custodian (PCs) except for inherently Governmental transactions. The contractor shall perform the following transactions under the oversight of a Government Property Official.
  • Complete all applicable initial Sunflower training and refresher training as required by the DOC-Personal Property Management Manual (PPMM).
  • Assist PCs in maintaining current custodial records for all accountable personal property within their assigned custodial area to include physical signing property down to the end user level through the use of hand receipts.
  • Assist PCs to ensure that personal property is maintained and is used only for official purposes.
  • Assist PCs with identifying and reporting to the Property Accountability Officer (PAC) any property excess to the needs of the custodial area.
  • Assist PCs in submitting appropriate reports promptly to the PAC and submitting CD52 Asset Retirement Requests in Sunflower for Lost, Missing, Stolen, Damaged, or Destroyed (LMSDD) and surplus accountable personal property no longer required for ITA's mission.
  • Assist PCs in affixing property identification number (barcode) labels onto accountable personal property and creating asset records in Sunflower.
  • Assist in conducting physical inventories, validating transactions, and recording inventory records.
  • Assist in maintaining ITA's Fleet vehicle inventory, responding to Departmental and Federal inquiries, and completing reporting requirements including but not limited to Federal Automotive Statistic Tool (FAST), vehicle reporting, ITA Fleet Management Plan, vehicle reports to the Department and ITA Leadership, etc.
  • Assist PCs in participating in the employee separation clearance process by ensuring that all assigned property has been accounted for.
  • Assist PCs in maintaining a record of accountable personal property assigned to his/her custodial area that is removed for use or repair outside of the custodial area.
  • Assist PCs to ensure that completed documentation is attached in Sunflower for newly acquired property.
  • Assist PCs to respond to NIST capitalized property inquiries and complete actions for acquired property.
  • Assist PCs with printing of Hand Receipts and OF-7 Property Passes.
  • Assist with scheduling and tracking attendance for ITA Sunflower Training Webinars and reviewing training records.
  • Assist in responding to Departmental regular and ad hoc inquiries and data calls including but not limited to Sunflower Role Reviews, Foreign Gifts Given and Received, Sunflower Training Validation. Property Critical Element Validation, Exchange/Sale Validation, Excess Property Furnished to Non-Federal Recipients, etc.
  • Other administrative and data call related tasks as assigned by MOD Director and team leads.

Qualifications:
  • High school diploma or equivalent required;
  • Proven experience in an administrative role, preferably in Compliance or Regulatory Affairs
  • Proficient in Microsoft Office Suite
  • Excellent communication skills, both written and verbal
  • Ability to prioritize tasks and work independently
  • Strong attention to detail and problem-solving skills

Security: Background Check
Work Environment & Physical Demands:
Sitting, standing, extended periods of time using a mouse and keyboard and viewing computer screens. Infrequent lifting of <40lbs. Movement between points within the same office or between buildings. Work is performed in generally consistent environmental conditions with some seasonality for temperature differences and lighting.
