Front Office Assistant

Job Description

Front Office Assistant Position Summary The Front Office Assistant serves as the first point of contact for visitors, customers, and vendors while providing essential support to the Accounts Payable and Accounts Receivable functions. This position requires excellent customer service, strong organizational skills, attention to detail, and the ability to work independently. The ideal candidate is a proactive problem solver who can prioritize multiple responsibilities, communicate professionally, and handle increasingly complex administrative and accounting tasks with minimal supervision.

Essential Duties and Responsibilities

Reception

  • Greet visitors and direct them appropriately.
  • Answer and route incoming telephone calls professionally.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain office supplies and assist with general office organization.
  • Assist with special projects and other duties assigned.

Accounts Payable

  • Process vendor invoices accurately and in a timely manner.
  • Match purchase orders, receipts, and invoices.
  • Maintain organized AP records and files.
  • Assist with payment processing and monthly closing activities.

Accounts Receivable

  • Process customer payments.
  • Apply payments and maintain accurate customer accounts.
  • Monitor aging reports and assist with collection efforts.

Qualifications
