Job description

As an Account Coordinator, you will be the backbone of our daily account management operations, ensuring everything runs smoothly for our clients and our team. We are looking for someone who doesn't just check tasks off a list, but who truly cares about the work, owns their responsibilities from start to finish, and takes real accountability.

The Account Coordinator supports the account management team in ensuring smooth operations for our clients. This role assists in the day-to-day management of the clients local marketing and advertising business activity for the local Business Unit.

This is a fast-paced environment where priorities can shift quickly. If you are highly observant, naturally solution-oriented and eager to learn, this role offers an incredible blueprint for you to grow, add value and build your career within our full-service agency team.

We are a Seattle based team and our office is based in the city. We support a work from home model primarily, with in-person office attendance discretionary as needed. We are looking for someone who currently lives in the Seattle or surrounding vicinity, or plans to by the time you would start on the job.


Key Responsibilities

Campaign & Creative Support

  • Creative job support: Open job orders, submit change orders, etc. to support the Account Team in creative campaign development as directed by Manager.
  • Traffic creative assets: Traffic creative assets to media vendors (Broadcast, Digital, OOH) to ensure campaigns launch accurately and on time, following appropriate process and protocols.
  • Merchandising:
    • Build monthly restaurant guides and schematics.
    • Assist in creative development of merchandising elements
    • Submit digital menu board elements

Client & Meeting Logistics

  • Support meeting execution: Coordinate client meetings from venue setup and communication protocols to preparing materials and handling day-of logistics as directed by Manager.
  • Manage documentation: Take ownership of client status invitations, agendas, official meeting minutes, conference reports, etc. following standard protocols for client approval as directed by Manager.
  • Manage Client communication:
    • Manage the official client email inbox, draft scheduled communications and coordinate details across internal departments.
    • Develop and distribute monthly recap emails to client showcasing the recent work provided by the Agency.

Administrative and Operational Support

  • Submit weekly invoices for budget tracking
  • Ownership of keeping documentation up-to-date, such as client distribution lists, attendance sheets, etc.
  • Competitive market research as directed

Teamwork & Local Activation

  • Support team through changing scope and priorities
  • Collaborate across teams: Partner with Media, Partnership, Brand Communication, and Events teams to support local, in-market event activations as needed.
  • Travel locally: Travel within the local market (Oregon + Eastern Washington) for in-person client meetings and event execution as needed.
