Job Summary:

Work closely with and report to the Assistant Director of Records, Graduate and Accelerated Undergraduate Programs, assisting in the coordination of daily Records operations.
Provide advanced processing support and subject matter expertise in academic records, ensuring accuracy, consistency, and timely completion of Records functions.
Maintain a strong working knowledge of academic policies, systems, and procedures to support students, faculty, and staff.
Salary:
Pay range $23.00 -$24.84 per hour
Actual salary offered is determined by the candidate's experience, education, skills, and other factors, including internal equity and university funding resources.

Job Description:

  • Support the daily operations of the Office of the Registrar by assisting with workflow coordination and task completion
  • Respond to student, faculty, and staff inquiries, providing accurate and timely information

  • Assist in the maintenance of academic semester course schedules.

  • Process grade changes for Graduate and Accelerated Undergraduate programs

  • Process program changes and update student records accordingly

  • Process leave of absence and withdrawal requests each semester

  • Assist with registration processes each term

  • Support degree conferral processes in coordination with the Assistant Director

  • Support commencement operations, including application processing and verification of student eligibility

  • Conduct tracking and maintenance of student data to ensure accuracy and completeness of records

  • Collaborate with academic departments to support students and communicate academic policies and procedures

  • Assist with technical support for Records processes and coordinate issues with Information Technology Services as needed

  • Provide excellent customer service while interacting with students, faculty, and staff

  • Plan and manage work to ensure tasks are completed accurately and in a timely manner

  • Other duties as assigned

Qualifications:

  • Bachelor's degree required

  • Prior clerical experience in an academic environment.

  • Understanding of or aptitude to grasp quickly, PLNU's academic policies and procedures

  • Strong computer skills in Google document system, Microsoft Word and Excel including accurate data entry and understanding of databases and reporting systems

  • Understanding of and commitment to the spiritual mission of the University

  • Aptitude to communicate effectively, both orally and in writing

  • Ability to be a self-starter, work independently and complete tasks in a timely manner under deadlines

  • Strong time management and organizational skills with the ability to prioritize tasks while managing interruptions

  • Ability to establish and maintain effective working relationships with students, faculty and staff

  • Strong aptitude to take direction and work effectively as a supportive, positive and cooperative team member

  • Able to exercise adaptability, integrity and patience in all situations

PHYSICAL REQUIREMENTS

The work is primarily sedentary and may require sitting for extended periods of time. Use of computer equipment: computer keyboard, mouse, and monitor. Ability to read documents, email and other correspondence, and reports on paper and computer monitor. Hearing and speaking to communicate effectively with others in person and by phone. Ability to stand, stoop, push, pull, and lift up to 20 lbs throughout the day.
