Description
Summary:
Reporting to the Dean of Social and Behavioral Sciences, the Academic Assistant provides administrative and operational support for assigned school and faculty.
Responsibilities:
The responsibilities for the position of Academic Assistant are to provide administrative and operational support for the assigned school's Dean, faculty, and students. The Academic Assistant assists the Dean, faculty, and students on a day-to-day basis to achieve divisional goals and to assist with the daily duties of the division and is responsible for operating the school's front desk which includes responsibilities in office management and customer service.
Essential Duties
  • Prepare and submit documents and reports in a timely and accurate manner.
  • Assist with preparation of course materials and exams.
  • Act as purchasing agent for the school and its departments through the use of p-cards, requisitions and cash purchases.
  • Prepare work orders, key requisitions and purchase card statements as needed.
  • Accurately maintain school and department financial information and data, delivering weekly/monthly budget updates for the Dean.
  • Maintain appropriate supplies, materials and equipment for the office.
  • Communicate web page changes for the school through collaboration with the College Strategic Communications and Marketing office.
  • Interact with our internal and external communities in a professional manner.
  • Assist facilities coordinator in scheduling and contracting for facilities by internal and external entities.
  • Arrange travel for faculty, students, guest artists, and lecturers including coordinating flights, car rental, hotel accommodations and meals.
  • Apprise the Dean of potential issues within the school and departments as appropriate.
  • Work collaboratively with various individuals and departments across campus, including any office assistants that may be employed by the Dean.
  • Direct the work of student employees that may be employed by the Dean to assist with office responsibilities.
  • Assist the Dean in maintaining professional, safe, and inviting classroom spaces and equipment for course instruction.
  • Maintain confidentiality of student and faculty information.
  • Perform a variety of other duties as assigned.
  • Coordinate and approve the creation of course syllabi at the start of each academic term.
  • Assign students to appropriate faculty advisors.

Qualifications
Minimum Qualifications:
  • Associate's Degree from an accredited institution with a minimum of 3 years of relevant experience in an office management or customer service-based position, OR a High School Diploma/GED with a minimum of 5 years relevant experience as previously listed
  • Knowledge of Casper College policies, procedures and mission statement
  • Knowledge of FERPA regulations regarding student records
  • Knowledge of operation of a variety of computer systems and software
  • Knowledge of operation and maintenance of various office machines and classroom equipment
  • Effectively organize and prioritize work and accomplish tasks under general direction
  • Work efficiently with accuracy and attention to detail
  • Communicate effectively, both verbally and in writing
  • Operate with a high level of computer proficiency in a variety of computer software
  • Establish and maintain effective working relationships with others

Desired Qualifications:
  • Bachelor's Degree from an accredited institution
  • Familiarity with Google Workspace Products, such as Drive
  • Experience with event planning and coordination
