Job description

We are looking for a Controller to support a non-profit organization in Fairport, New York through a Contract engagement. This position will lead core accounting operations, strengthen financial oversight, and help ensure accurate reporting across payroll, cash management, reconciliations, and monthly close activities. The ideal candidate brings strong nonprofit accounting knowledge, sound judgment, and the ability to collaborate with staff across finance and other departments to maintain compliance and support financial decision-making.
Responsibilities:
โ€ข Direct daily accounting activities, including oversight of accounts payable, accounts receivable, and general accounting staff while providing coaching and operational guidance.
โ€ข Examine payroll support reports, complete reconciliation review, and authorize related journal entries to maintain accurate financial records.
โ€ข Manage cash activity by posting bank transactions, tracking cleared checks, clearing payment batches, and monitoring liquidity needs, including coordination of line of credit and endowment draws when necessary.
โ€ข Evaluate purchase orders for policy compliance, budget alignment, and correct general ledger coding before approval.
โ€ข Review bank reconciliations, investigate outstanding checks, and confirm that follow-up actions are taken with appropriate team members when unresolved items remain.
โ€ข Prepare and approve monthly financial statements, including written commentary on variances, trends, and other management-level financial insights.
โ€ข Perform and oversee reconciliations for deferred revenue, prepaid balances, campaign pledges, fundraising platforms, online giving activity, petty cash, and other designated accounts to ensure records align across systems and bank activity.
โ€ข Partner with internal departments to analyze financial variances, support projections, assign project codes, and maintain accurate coding references for staff use.
โ€ข Process selected financial administration tasks such as coding vendor invoices, coordinating credit card payments, recording donations, preparing fundraising batches, and completing cash deposits.โ€ข Demonstrated experience in accounting leadership, preferably in a Controller or senior-level finance role.
โ€ข Background in non-profit accounting with a strong understanding of fund activity, reconciliations, and financial reporting requirements.
โ€ข Proficiency reviewing financial statements, journal entries, bank reconciliations, and month-end accounting processes.
โ€ข Experience supervising or mentoring accounting, accounts payable, or accounts receivable staff.
โ€ข Familiarity with Blackbaud or related nonprofit financial systems.
โ€ข Strong attention to detail with the ability to manage document-heavy workflows, including compiling, reviewing, and maintaining financial records.
โ€ข Effective analytical and communication skills, with the ability to explain variances and collaborate across departments.
โ€ข Ability to work independently in a Contract position while managing multiple priorities and deadlines.
