Staff Support Department
POSITION TITLE: Executive Secretary
ASSIGNMENT: Political Action
AREA: New York
REPORTS TO: Political Director
CLASSIFICATION: Permanent
SALARY: $79,654.74
NO. OF POSITIONS: 1
Job Summary:
Performs secretarial work of average difficulty and involving some independent judgment for the Political Director. Also performs general functions and related work as required. Work is performed under the general supervision of the Political Director. Must be well organized and possess outstanding secretarial skills.
Job Functions:
  • Supports campaigns, mobilizations, and programs of the Political Action department
  • Provides support to and clear communication with the department staff
  • Coordinates onboarding of Member Political Organizers and other temporary employees, including safeguarding members' sensitive documents
  • Maintains accurate attendance records
  • Arranges for meetings and conferences, including booking travel and lodging as necessary
  • Prepares and receives information concerning matters related to the department
  • Schedules appointments and maintains calendar for the department head
  • Composes and prepares routine correspondence for signature.Manages and distributes incoming mail and prepares outgoing mail
  • Maintains and organizes files of digital and physical records.
  • Ensures office supplies and resources are available
  • Takes and transcribes notes, prepares a draft of notes, and after editing, finalizes the same.
  • Attends meetings and conferences, furnishes information, takes notes, and provides input.
  • Coordinates office functions with other divisions and departments.

Qualifications:
  • High school diploma.
  • Three years of experience in the performance of responsible secretarial and clerical work.
  • Some knowledge of modern office methods and procedures.
  • Must have knowledge of office equipment and experience with Microsoft programs, including Word, Excel, and Teams.
  • Ability to perform secretarial and clerical duties with speed and accuracy without immediate and constant supervision.
  • Type at a speed of 70 words per minute.
  • Acts with integrity, discretion and confidentiality
  • Exceptional in spelling, grammar and vocabulary with good verbal and written communication skills.
  • Ability to maintain a good working relationship with all coworkers and general public requiring tact, judgment and poise.
  • Ability to work well under deadline.
  • Ability to work long hours, including evenings and weekends if required.
