Front Desk Associate

Position Summary

The Front Desk Associate serves as the first point of contact at headquarters and is responsible for creating a professional, welcoming, and highly functional workplace environment. This role blends front desk reception, office services, and facilities coordination, along with administrative support for Executive Assistants and leadership.

Key Responsibilities Reception & Front-of-House Operations
  • Serve as the primary point of contact for employees, visitors, and vendors
  • Manage visitor registration, badging, and security protocols
  • Answer and direct incoming calls, emails, and general inquiries
  • Maintain a clean, organized, and professional reception and lobby area
  • Receive, sort, and manage incoming mail, packages, and deliveries
Facilities Coordination
  • Create and manage work orders for maintenance and repair needs
  • Coordinate vendor and contractor access to the facility
  • Support seating assignments, workspace tracking, and related documentation
  • Monitor and restock office and workplace supplies
  • Assist with office moves, reconfigurations, and space planning activities
  • Submit purchase requisitions to support work orders and facility needs
Executive & Administrative Support
  • Provide support to C-Suite Executive Assistants
  • Coordinate meetings, conference room setup, and catering arrangements
  • Assist with leadership visits, internal events, and special projects
  • Maintain a high level of confidentiality, professionalism, and discretion
Vendor & Service Coordination
  • Coordinate service providers and external vendors
  • Support contractor onboarding and scheduling
  • Track service requests and ensure timely completion
Qualifications Education
  • High school diploma or equivalent required
Experience
  • Minimum of 2+ years of relevant experience in administrative, facilities, or office support roles
Preferred Qualifications
  • Experience supporting executive-level stakeholders
  • Experience with facilities coordination or vendor management
  • Familiarity with workplace tools such as Microsoft Outlook, Excel, and Teams
