Medical Assistant (MA)/Medical Receptionist (Full-Time)

The OVMG PRIMARY CARE - Medical Assistant (MA) works closely with the primary care physician to deliver excellent patient care, ensuring services are provided within the Medical Assisting scope and state guidelines. The OVMG PRIMARY CARE - Medical Assistant will be responsible for reviewing and updating health records, measuring vital signs, and preparing treatment rooms for upcoming examinations. The OVMG PRIMARY CARE - Medical Receptionist - is responsible for the courteous and prompt processing of patients in the waiting area. The OVMG PRIMARY CARE – Medical Receptionist is responsible for answering all incoming telephone calls and directing the calls to the appropriate personnel. The OVMG PRIMARY CARE - Medical Assistant (MA) / Medical Receptionist reports directly to the OVMG PRIMARY CARE – Practice Manager / Site Manager.

RESPONSIBILITIES:
  • Understands and adheres to the legal responsibilities and requirements within the Medical Assistant (MA) / Medical Receptionist role.
  • Identifies significant changes in patient condition through data collection and reports them to the provider.
  • Troubleshoots issues and escalate problems to provider, direct supervisor, or appropriate internal resource.
  • Demonstrates standards of excellence in care in all interactions, for both internal and external customers.
  • Maintains clinical and administrative skills per the departmental competency guidelines to meet patient care and daily operational needs.
  • Show patients to examination rooms and prepare them for the physician.
  • Record patients' medical history, vital statistics, or information such as test results in medical records.
  • Interview patients to obtain medical information and measure their vital signs, weight, and height.
  • Prepare and administer medications as directed by a physician.
  • Collect blood or other laboratory specimens, log the specimens, and prepare them for testing. Assist provider in procedure and prepare testing for tissue collection.
  • Provide authorized prescription and drug refill information for pharmacies as directed by provider.
  • Explain treatment procedures, medications, diets, or physicians' instructions to patients.
  • Clean and sterilize instruments and dispose of contaminated supplies.
  • Perform routine laboratory tests and sample analyses.
  • Perform general office duties, such as answering telephones, taking dictation, or completing insurance and other forms (such as FMLA/short term disability).
  • Successfully completes skills or competency checklists to be able to help physicians examine and treat patients, performing such tasks as: handing them instruments, giving injections, removing sutures/staples, changing wound dressings, otic irrigation, venipuncture, and point of care testing.
  • Ability to collaboratively work with providers, specialists, patients, families, and teams within a high-volume environment.
  • Maintains a safe and supportive environment by keeping the work area, exam rooms, and equipment in clean, orderly, and safe manner, ensuring availability and proper functioning of supplies and equipment.
  • Documents in electronic medical records (EMR) accurately and appropriately.
  • Manages in basket messages in the electronic health record (EHR) under the Providers verbatim instructions.
  • Performs front desk workflows (i.e., My Chart requests, patient registration, scheduling, phone triage, cash handling, and check-in/check-out).
  • Follows up on orders, appointments, referrals, and follow up visits and collects co-pays as needed.
  • Other duties include, but not limited to, ordering supplies appropriately, tracking referrals, labs and diagnostic tests, disposing of contaminated supplies, inventory and tracking of current medication/sample medication stock, performing quality control and calibration testing on equipment, etc.
  • Assists with total care management activities, ensuring patient care coordination and adherence to clinical protocols and regulatory standards.
  • Identifying TCM patients that need follow-up care, scheduling visits, keeping medication lists and other health care encounters up to date.
  • Retrieves faxes from system and appropriately distributes/completes items per physician preference.
  • Admission / registration of patients.
  • Verifies the accuracy and completeness of patient clinical, demographic, and insurance information upon admission of the patient. Enters correct patient information into the medical software system at the time of admission.
  • Interacts and assists patients in waiting rooms; rounds to clinical areas as needed.
  • Communicates patient and/or procedure delays to the appropriate person.
  • Requests the patient or legal guardian read the Patient’s Bill of Rights and Responsibilities and Notice of Privacy Practices.
  • Protects patient confidentiality and dignity by concealing patient information; and keeps discussion of a patient’s procedure(s) to a tone discernable only to the patient and/or legal guardian.
  • Maintains an orderly and secure system for storing patient charts at the front desk.
  • Records and reconciles daily all monies collected at the front desk.
  • Always maintains a presence at the front desk – except for lunches and breaks.
  • Retrieves and forwards general mailbox messages to the appropriate personnel.
  • General management of the telephone system. Ensures the appropriate phone message is correct for after-hours / emergency message. (ProStratus controls our phones – we do not.)
  • Establishes and maintains patient files.
  • Retrieves patient’s medical records upon request of the patient or medical provider. This includes printing reports, burning CD’s, and having the patient sign a medical release and scan into their chart.
  • Ensures the lobby is cleaned up daily.
  • Assists the OVMG PRIMARY CARE – Practice Manager / Site Manager with duties such as making reminder calls, sending reports, or other duties the OVMG PRIMARY CARE – Practice Manager / Site Manager assigns.
  • Assisting with other duties as directed by the OVMG PRIMARY CARE – Practice Manager / Site Manager – including registration / scheduling efficiency, assisting with the goal of zero (0) patients waiting, no calls holding, and leading the concierge service, mailing Medicare wellness appointment reminder letters/forms, appropriately handling/distributing medical record requests , faxing home healthcare to appropriate parties, help with fax retrieval, etc.
  • Other duties as assigned.
QUALIFICATIONS:
  • High School Diploma or equivalent required.
  • Active Medical Assistant (MA) certification/license preferred. Certification/license must be in good standing.
  • Medical Assistant (MA) experience in a healthcare setting preferred.
  • Clerical physician office experience preferred.
  • Current BLS certification required upon hire. Experience in high volume / high stress environment, which demonstrates the ability to multitask.
  • High school graduate required. Associate’s degree preferred.
  • Demonstrated ability to type 45 wpm.
  • Comprehension of medical terminology.
  • Minimum one (1) yar receptionist experience in an ambulatory surgery facility, acute-care hospital, or doctor’s office.
  • Must have experience using scheduling software.
  • Must have experience using Windows.
  • Excellent communication skills.
  • Competency in oral and written skills.
  • Ability to prioritize and complete tasks in a timely manner.
  • Ability to perform multiple tasks simultaneously.
  • Must be able to work under pressure.
