About the Position
The Growth Operations Coordinator supports the execution and daytoday operations of the firm's Growth initiatives across Marketing, Business Development, and Client Experience. The individual in this role will work closely with the Senior Vice President of Business Development and is responsible for coordinating prospect and center of influence activity, maintaining pipeline data in the client relationship management system (CRM), tracking priorities, driving next-step accountability, and ensuring followthrough on all growthrelated activities.

The Growth Operations Coordinator serves as the execution hub for Growth Team activity, helping HC scale a repeatable business development process while delivering a polished high-touch experience for prospects, referral partners, and internal teammates.

The individual in this role is highly organized, detailoriented, proactive, and energized by supporting a fastmoving growth engine, keeping projects on track, and serving as a key connective point across teams.

Primary Position Responsibilities
  • Own the day-to-day management and integrity of the HC business development pipeline within the firm's Client Relationship Management system (CRM), including stage movement, source attribution, contact record accuracy, activity capture, and next-action dates.
  • Monitor all active leads (inbound and outbound), prospects, referral relationships, and opportunities to ensure each has a current status, defined owner, and documented next step.
  • Run weekly pipeline reports, audit to identify stalled opportunities, overdue follow-up, aging issues, missing data, and unclear ownership; escalate or resolve as appropriate.
  • Prepare pipeline review materials including dashboards for the Senior Vice President of Business Development and Growth Team leadership, highlighting volume, source quality, discovery activity, stage movement, conversion trends, bottlenecks, and execution gaps.
  • Help maintain standard stage definitions and process expectations across the pipeline, including inquiry, qualified lead, discovery scheduled, discovery completed, proposal in process, decision pending, won, lost, and nurture.
  • Coordinate scheduling, preparation, agendas, meeting support, and follow-up on pipeline management, COI, and strategic growth meetings.
  • Assist with planning and execution of growth campaigns, events, seminars, and referral-development initiatives; document outcomes and conversion activity in the CRM.
  • Surface actionable insights for the Senior Vice President of Business Development by identifying trends in referral quality, follow-up effectiveness, stage conversion, and workflow friction.
  • Support leadership reporting by maintaining accurate metrics tied to growth goals, team accountability, and business development effectiveness.
  • Partner with advisors, marketing, operations, and client service teams to ensure growth activity aligns with firm capacity and service expectations.
  • Coordinate the transition from won prospect to onboarding by ensuring clear hand-off of notes, commitments, documentation, and internal ownership.
  • Help reinforce consistency in the prospect experience so every interaction reflects HC's standards for professionalism, responsiveness, and care.
Position Requirements
  • Bachelor's or Associate's Degree, or equivalent work experience, required.
  • 3-5 years of experience providing outstanding client service utilizing a client relationship management (CRM) system including common workflows such as lead handling, discovery scheduling, proposal coordination, and onboarding handoff, required. 
  • Experience with supporting teams in referral-development efforts, and event-driven business development activity.
  • Demonstrated high level of accuracy, passion for details, and ability to multi-task in a fast-paced environment.
  • Proactively collaborates with teammates and takes initiative to advance work efficiently from start to completion.
  • Outstanding communication, analytical, and organizational skills. 
  • Proficiency with Microsoft Office suite including Excel, and aptitude to learn specialized software programs.
