    Client Services Coordinator - Employee Benefits
    Hybrid | Scottsdale, Chandler - Arizona

We're seeking a Client Service Coordinator who will make a meaningful impact by delivering proactive client service, thoughtful benefits strategy, and a high-touch experience for both clients and employees.

    The Client Service Coordinator (CSC) supports the Client Service team by managing high-volume, administrative, and process-driven service activities. This role is designed to improve efficiency, consistency, and scalability by specializing in defined areas of client service support while partnering closely with Client Managers and Assistant Client Managers.
    CSCs operate within a team-based model, with individual responsibilities aligned to specific focus areas while maintaining shared accountability for service delivery across the service team book of business.

    RESPONSIBILITIES
    What You'll Do:
      • Support day-to-day service operations for clients
      • Manage standardized service requests and administrative tasks
      • Ensure accurate documentation in CRM systems and shared file repositories (Egnyte)
      • Adhere to service timelines, internal standards, and documentation requirements
      • Collaborate with Client Managers and Assistant Client Managers to resolve issues and escalate when appropriate
      • Maintain strong attention to detail across repetitive, deadline-driven work
      • Participate in cross-training to ensure coverage and continuity
      • Availability to work in-office for print jobs or other special projects (as needed)

    Focus Areas & Specialized Responsibilities
    Each CSC will be assigned a primary focus area, with responsibilities distributed to promote specialization, efficiency, and consistency. Focus areas may evolve over time based on business needs.
    Focus Area 1: Eligibility & Enrollment Support
    • Process eligibility and enrollment changes (working with RSP)
    • Manage general service and billing issue resolution
    • Create eligibility spreadsheets
    • Support Employee Navigator renewals/questions

    Focus Area 2: Client Materials & Documentation
    • Prepare RFP packets and census documentation
    • Build and update benefit guides and generic enrollment forms
    • Request benefit summaries, policies, certificates of coverage
    • Ensure accurate and timely filing of client documentation in Egnyte

    Focus Area 3: Compliance, CRM & Reporting
    • Maintain CRM for client policies and plan data
    • Create and distribute annual notices
    • Create and distribute FECs
    • Prepare compensation disclosures
    • Complete benchmark data entry

    QUALIFICATIONS
    What You'll Bring:
    • Proficient PC and data entry skills with experience in MS Word, Excel and Outlook.
    • Database and PowerPoint skills are a plus.
    • Proficient verbal and written communication skills as well as strong organizational and customer service skills.
    • Basic mathematical aptitude.
    • Excellent interpersonal and recordkeeping skills.
    • Certification in customer service or similar would be advantageous.
    • Exceptional ability in providing professional, efficient and friendly client service.
    • Ability to coordinate with other departments, carriers, vendors to resolve issues.

    Education and Certifications REQUIRED:
      • High school diploma
      • 1-2 years of experience in client services, sales, or similar roles
