ABOUT THE ROLE

The Project Coordinator provides administrative and operational support to Project Managers in the execution of commercial sealant, waterproofing, and building restoration projects. This role is responsible for coordinating schedules, managing documentation, and ensuring efficient communication between field teams, vendors, and clients. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced construction environment.

Salary range $56,303.5-$84,454.7. Based on location and experience.

WHAT YOU’LL DO

  • Assist Project Managers with project setup, including contracts, submittals, and required documentation
  • Maintain and organize project files, logs, and tracking systems to ensure accuracy and accessibility
  • Monitor compliance requirements including insurance certificates, permits, and safety documentation
  • Support job costing processes and assist with budget tracking and updates
  • Coordinate project schedules with field crews, subcontractors, and general contractors
  • Track project timelines and proactively identify and communicate potential delays
  • Schedule site visits, inspections, and material deliveries to keep projects on track
  • Prepare and track submittals, RFIs, and change orders throughout the project lifecycle
  • Collect and maintain daily reports, timesheets, production data, and closeout documentation (warranties and O&M manuals)
  • Coordinate ordering, delivery, and tracking of materials, and communicate with vendors to ensure timely fulfillment
  • Serve as a liaison between project managers, field teams, clients, and vendors to support communication and issue resolution
  • Support project meetings, provide status updates, and help maintain strong client and stakeholder relationships

WHO WE’RE LOOKING FOR

The ideal candidate is a highly organized and detail-oriented professional with experience supporting construction or project-based environments and the ability to manage multiple priorities in a fast-paced setting. They demonstrate strong communication skills, effectively coordinating between project managers, field teams, vendors, and clients while maintaining accurate documentation and tracking systems. This individual is proactive, dependable, and committed to supporting safe, efficient project execution while contributing to strong team and client relationships.

IDEAL CANDIDATES WILL HAVE

  • Associate or bachelor’s degree in Construction Management, Business, or a related field preferred (or equivalent work experience)
  • 1–3 years of experience in a project coordination, administrative, or support role (construction industry preferred)
  • Experience in commercial construction, subcontracting, or specialty trades (sealant, waterproofing, restoration, or façade work) preferred
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Familiarity with project management software preferred (e.g., Procore, Bluebeam, or similar)
  • Basic understanding of construction drawings, specifications, and processes
  • Knowledge of RFIs, submittals, change orders, and construction documentation workflows
