POSITION SUMMARY:
The Senior Coordinator will support a top-producing Executive Managing Director in Transwestern's Chicago office, assisting with an international tenant representation practice and the Sports & Entertainment service line. This role is responsible for the seamless execution of brokerage coordination while simultaneously driving broader strategic initiatives across the firm.
In addition to traditional coordination, including transaction management, client services, marketing and research coordination, this role supports the growth of the Sports & Entertainment platform through recruiting, strategic partnerships, and international outreach. This highly visible position requires exceptional professionalism and the ability to manage competing priorities in a fast-paced, executive environment.
It is also the responsibility of the Senior Coordinator not only to exhibit legendary customer service when communicating with clients, owners, vendors, and fellow team members but also to focus on productivity and results.
POSITION ESSENTIAL FUNCTIONS:
  • Manage comprehensive day-to-day administrative and operational support for national and international initiatives, ensuring seamless execution of complex calendaring, travel logistics, client tours, and high-profile events.
  • Act as a liaison for the firm by coordinating meetings, communications, and materials for global and local clients and project opportunities, while supporting seamless collaboration between Transwestern and its internal and external partners.
  • Maintain accurate records and databases for client contacts, deal status, and transaction documentation, utilizing enterprise CRM (Microsoft XRM) to track prospects and leads while ensuring information remains current and accessible.
  • Leverage proprietary platforms including "Curve" and Visual Lease to analyze multi-market client data and support requirements through regular status reports and pipeline updates.
  • Partner with the Marketing team to produce, coordinate, and proofread high-quality client-facing materials-including brochures, proposals, and pitch presentation, ensuring they reflect leadership's strategic vision and adhere to brand standards.
  • Work closely with the Research team to gather market intelligence and data (including comparable transactions and vacancy data) to identify properties that meet client requirements.
  • Coordinate the preparation of property tour itineraries and comprehensive materials, incorporating relevant market insights into final client presentations and advisory deliverables.
  • Serve as a primary point of contact for clients and internal stakeholders, through exceptional service, professional correspondence, and the preparation of meeting agendas and leadership updates.
  • Manage the end-to-end deal process and project initiatives for both the tenant representation practice and the Sports & Entertainment service line, including transaction documentation, milestone tracking, and cross-functional collaboration between clients, attorneys, and internal teams.
  • Assist the Executive Managing Director with firmwide strategic initiatives including recruiting efforts, coordination related to potential partnerships or acquisitions, and other management initiatives.
  • Provide organizational and research support related to business development opportunities and strategic growth initiatives across the firm.
  • Other duties and assignments as requested.

POSITION REQUIREMENTS:
  • Bachelor's degree in business administration, marketing, real estate, or a related field is strongly preferred.
  • An equivalent combination of education and relevant experience will be considered.
  • 4+ years of professional experience in commercial real estate brokerage support, tenant representation, or a high-level administrative/coordination role is highly desirable.
  • Previous exposure to the commercial real estate industry (especially in tenant advisory services) is a plus, but exceptional candidates with transferable skills from other fast-paced, client-service environments will also be considered.
  • Experience in real estate, customer service, or administrative support is preferred.
  • Strong understanding of transaction management and client relations.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with CRM software, specifically Microsoft XRM.
  • Ability to quickly learn and effectively use the Curve tenant representation platform.
  • Experience with marketing and design tools including Adobe InDesign and Adobe Photoshop.
  • Analytical and problem-solving abilities for market research, client surveys, and transaction tracking.
  • Ability to manage multiple projects and deadlines simultaneously in a fast-moving environment.
  • Outstanding verbal and written communication skills.
  • Polished, professional presence comfortable interacting with high-profile clients and senior executives.
