Job description

Opportunity Information

Sutter West Bay Medical Group (SWBMG) is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support across multiple leadership functions and strategic committees. This role is essential in ensuring smooth operations, effective communication, and coordination within the group's leadership and governance structures.

Key Responsibilities:

 

Committee & Program Support

  • Provide administrative support for key committees including:
    • Professional Affairs Committee
    • Benefits Committee
    • Culture & Experience Committee
  • Coordinate logistics, prepare agendas, take and distribute meeting minutes, and track follow-up actions.
  • Support the Mentoring Program by managing communications, scheduling, and documentation.

Administrative Onboarding & Preboarding

  • Facilitate administrative onboarding and preboarding processes for new hires.
  • Coordinate with HR and department leaders to ensure a seamless experience for incoming team members.

Leadership & Executive Support

  • Provide high-level administrative and calendaring support to Medical Group physician and business leaders.
  • Manage complex calendars, schedule meetings, and coordinate travel and event logistics as needed.
  • Support additional PLT (Physician Leadership Team) initiatives and projects.
Qualifications

Minimum Qualifications

  • Education: Associate's degree required; bachelor's degree preferred.
  • Experience: Minimum 3 years of administrative or executive support experience, preferably in a healthcare or medical group setting.
  • Skills:
    • Excellent organizational and time management skills.
    • Strong written and verbal communication abilities.
    • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
    • Ability to manage multiple priorities and maintain confidentiality.
    • Comfortable working independently and collaboratively in a fast-paced environment
  • Preferred Qualifications:

    • Experience supporting leadership teams or committees.
    • Familiarity with healthcare operations or medical group structures.
    • Knowledge of onboarding processes and event coordination.
  • Work Environment:

    • Onsite required for in-person meetings and events, with occasional option to work from home.
    • May require occasional travel to various SWBMG locations.
