Job description

Service Writer

Position Summary The Service Writer supports internal and external customers by researching and sourcing parts, preparing accurate estimates and quotes, processing orders, and providing warehouse and administrative support. This role demands strong computer skills, meticulous attention to detail, and the ability to efficiently research, source, and coordinate parts for generators, power systems, and related equipment.

The position ensures smooth information flow between sales, service, vendors, and customers while maintaining an organized, efficient warehouse operation.

Pay is commensurate with experience.

Key Responsibilities

Estimating, Quoting & Order Processing

  • Research, source, and estimate parts for generators, power systems, and related equipment using diagrams, schematics, and service documentation.
  • Prepare and deliver detailed quotes, proposals, and parts pricing for service and sales requests.
  • Process parts orders, quote requests, and related documentation from internal teams and customers.
  • Approve and process customer and vendor invoices; invoice completed parts orders accurately and promptly.
  • Maintain correct pricing, margins, multipliers, and sales tax calculations.
  • Track pending quotes, orders, and follow up to ensure timely resolution.
  • Customer & Sales Support
  • Assist sales and service teams with parts applications, specifications, and technical questions.
  • Act as liaison between customers, vendors, and internal departments to resolve inquiries or issues.
  • Support walkin customers, counter sales, phone inquiries, and email responses.
  • Collaborate with the credit department on customer account communications as needed.
  • Administrative Support
  • Process sales commissions and prepare endofmonth reports.
  • Maintain and reorder product literature and reference materials.
  • Assist with special projects, crosstrain in related functions, and provide backup support to team members.
  • Required Skills & Qualifications

    Technical & Computer Skills (Strong Emphasis)

  • Working knowledge of business enterprise systems (e.g. INFOR, SAP, Oracle, etc.)
  • Working knowledge of Microsoft Office (Outlook, Excel, Word).
  • Ability to quickly learn and excellent data entry accuracy, attention to detail, and basic math skills (percentages, margins, multipliers, sales tax).
  • Experience
  • High School Diploma or GED required.
  • 13 years of experience in parts sales, estimating, coordination, inventory control, or warehouse operations preferred.
  • General mechanical/technical aptitude strongly preferred.
  • Experience researching parts via diagrams, schematics, or technical documentation is a plus.

  • Strong verbal and written communication skills.
  • Excellent organizational abilities and attention to detail.
  • Proven ability to multitask and prioritize in a fastpaced environment.

  • Physical Requirements & Work Environment

  • Regularly required to sit, stand, walk, and use hands for computer work and warehouse tasks.
  • Must be able to lift up to 50 lbs.
  • Ability to work in a nonclimatecontrolled warehouse for extended periods.
  • Forklift operation required (or willingness to be trained).
